Job Summary

The Lee Kong Chian School of Medicine (LKCMedicine) trains doctors who put patients at the centre of their exemplary care. The School which offers both undergraduate and graduate programmes is named after local philanthropist Tan Sri Dato Lee Kong Chian. Established in 2010 by Nanyang Technological University Singapore in partnership with Imperial College London LKCMedicine aims to be a model for innovative medical education and a centre for transformative research. The Schools primary clinical partner is the National Healthcare Group a leader in public healthcare recognised for the quality of its medical expertise facilities and teaching. The School is transitioning to an NTU medical school ahead of the 2028 successful conclusion of the NTU-Imperial partnership to set up a Joint Medical August 2024 we welcomed our first intake of the NTU MBBS programme that has been recently enhanced to include themes like precision medicine and Artificial Intelligence (AI) in healthcare with an expanded scope in the medical humanities. Graduates from the five-year undergraduate medical degree programme will have a strong understanding of the scientific basis of medicine with an emphasis on technology data science and the humanities

LKCMedicine is seeking a detail-oriented and organised Senior Executive to join the Graduate Programmes team. The successful candidate will provide essential administrative support for our CET programmes ensuring smooth operations seamless digital course delivery and a positive learner experience. The Senior Executive will be a primary point of contact for learners and adjunct faculty ensuring a smooth and positive experience for all stakeholders. This role is central to the successful delivery of our programmes involving the coordination of programme logistics management of learner support and assistance with financial administration.

Responsibilities:

Programme Administration & Logistics

  • Coordinate the end-to-end logistics for all CET programmes including scheduling booking of venues or virtual platforms and managing catering.

  • Provide administrative support to Course Directors including scheduling programme meetings preparing minutes and assisting with programme reviews.

  • Manage digital dissemination of course content; set up courses on the Learning Management System (LMS) and ensure all online learning materials are current and accessible.

  • Provide on-site or online administrative support during programme sessions to assist faculty and learners and to manage attendance.

  • Administer pre and post-programme activities including the collection of feedback collation of results and generation of reports.

Learner & Stakeholder Support

  • Serve as the primary front-line support for CET programmes handling all enquiries from prospective learners current participants and the public via email and phone.

  • Manage the full learner registration and enrolment process from application processing and matriculation to fee collection and issuance of confirmations.

  • Maintain accurate learner records and manage the issuance of course certificates transcripts and other relevant documentation.

  • Liaise with adjunct faculty and instructors to coordinate schedules gather teaching materials and process administrative and payment-related requests.

Finance & Administrative Support

  • Assist the Manager with financial administration for the CET portfolio.

  • Coordinate with the Office of Faculty Affairs to facilitate the appointment renewal and onboarding of trainers and adjunct faculty.

  • Process procurement requests including raising purchase orders and ensuring compliance with university procurement policies.

  • Handle the processing of invoices and claims for payment from external vendors part-time lecturers and adjunct faculty.

  • Perform data entry and maintain accurate records for programme finance and learner enrolment.

Requirements:

  • A recognised diploma in any discipline. A degree in Business Communications or a related field is an advantage.

  • Minimum 23 years of hands-on experience in an administrative operational or customer service role.

  • Excellent organisational and multitasking skills with a proven ability to manage multiple priorities and meet deadlines.

  • Meticulous with a keen eye for detail particularly in record-keeping and processing information.

  • Strong interpersonal and communication (both written and verbal) skills with a customer-centric mindset.

  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).

  • A proactive and collaborative team player who is also able to work independently.

  • Experience in the education or healthcare sectors.

  • Familiarity with university systems and learner management systems.

  • Familiarity with SkillsFuture Singapore (SSG) portals and administrative processes.
