Key Responsibilities
The VA will be responsible for streamlining the daily administrative workflow specifically focused on client interaction and scheduling for a service-based business:
Customer Communication: Professionally answer screen and route incoming phone calls and promptly respond to customer emails and inquiries.
Scheduling and amp; Dispatch: Manage the master calendar for all service calls and appointments coordinate scheduling with customers and send timely appointment reminders to reduce no-shows.
Administrative Support: Perform data entry organize digital files prepare service-related documents and memos and maintain accurate client contact lists.
Financial Support (Light Bookkeeping): Assist with basic financial tasks such as preparing and issuing invoices to clients tracking payment status and organizing expense receipts.
Marketing/Online Presence: Manage and schedule basic posts on company social media accounts (e.g. Facebook LinkedIn) and perform simple website updates (e.g. updating FAQs or service lists).
Research: Conduct basic online research as needed for vendor pricing or new tools/software.
Required Skills and Qualifications
Proven experience as an Administrative Assistant Virtual Assistant or in a similar remote role.
Exceptional verbal and written communication skills.
Proficiency with scheduling software (e.g. Google Calendar Outlook) and standard office software (e.g. MS Office or Google Workspace).
Excellent organizational and time-management skills with the ability to work independently with minimal supervision.
