Family Finance Coordinator
Part-Time (0.6 FTE 24 hours per week Monday to Friday)
Kenneth Gordon Maplewood School (KGMS) is an independent co-educational Kindergarten to Grade 12 school located in North Vancouver BC. One of the few dedicated special education schools in British Columbia KGMS serves neurodiverse learners from across the Lower Mainland.
We follow the BC Ministry of Education curriculum while adapting and differentiating instruction to meet the needs of diverse learners. Guided by Universal Design for Learning principles our program integrates experiential learning inquiry-based approaches and social-emotional learning to provide a supportive student-centred educational experience.
KGMS is seeking a Family Finance Coordinator to join our team. This role supports student accounts and family financial processes and plays an important part in ensuring clear compassionate and accurate financial communication with our school community.
KGMS is a member of the Independent Schools Association of British Columbia (ISABC) and Canadian Accredited Independent Schools (CAIS).
KEY RESPONSIBILITIES:
We are currently seeking a Family Finance Coordinator to report to the Controller. The position manages all aspects of students accounts and family accounts including:
Manage process and record payments received tuition revenue
- On-going (rolling) tuition fees collection
- Re-registration and enrollment tuition
- Reconcile with external funding sources
- Transportation billing and bus ridership reconciliation
- Billing related to student accounts (uniform sales and supplementary fees)
- Manage re-registration documentation in collaboration with Admissions
- Monthly reconciliation of students accounts and AR reports
Additional Duties
- Collecting checks setting up preauthorized payments and credit card processing
- Prepare bank deposits
- Collection of overdue accounts
- Prepare monthly invoices for external funding
- Prepare annual tuition and transportation receipts
- Produce analysis and prepare various reports
Skills:
- Communication and Relationship building with families and organizations
- Work closely with the Controller to ensure accurate and efficient financial processes
- Act in a supportive capacity for school functions as directed by the Head of School
- Other finance and administration duties as required
The successful candidate will have: - Related experience preferably in the non-profit sector.
- A proficient level of computer literacy including experience which may include the use of financial software spreadsheets and digital platforms.
- Work quickly efficiently and accurately on assigned tasks
- Demonstrates initiative and exercises sound judgment
- Work collaboratively as necessary
- Be self-motivated and demonstrate initiative
- Remain current with technological and accounting concepts policies and equipment.
- Demonstrate a positive attitude toward students staff and families
- Demonstrate strong interpersonal and communication (verbal & written) skills
Qualifications: - This position requires experience and/or training in data management along with a minimum of two years of experience in financial administration
- Experience in accounting practices would be an asset
- Proficiency in Microsoft Office (Outlook Word Excel)
- Experience with Canadian Banking and Financial Institutions
- Experience in the non-profit sector is an asset
Wage: A prorated Annual Salary (part-time) 0.6 FTE $48000 Prospective date of employment: February 1st 2026
