- The Meeting & Events Co-ordinator will work in collaboration with AbbVies Brand Teams to bring external meeting plans to life ensuring all activities are fully compliant with the ABPI Code of Practice and AbbVie Policies.

- Through logistical arrangements venue sourcing meeting planning and onsite management deliver exceptional and compliant meeting and event experiences to advance AbbVies strategic goals.
- Provide full oversight of the Meetings Approval Process (MAP) and ensure all contracting compliance and vendor management steps are completed accurately and efficiently and in compliance with AbbVie Policies and the ABPI Code
- Foster collaborative relationships with vendors and compliant meeting and event venues to drive continued innovation in events management and uphold AbbVies high standards.
Key responsibilities:
- Coordinate and oversee all logistics documentation and contracting for AbbVie scientific and educational meetings. Ensure excellence in meetings and events (M&E) coordination and maintain full compliance with AbbVie policies and the ABPI Code of Practice.
- Coordinate logistics when supporting Professional (HCP) continuous medical education/support for attendance to scientific/educational third-party congresses including registration travel and accommodation. Manage all aspects of the contracting process for venues and logistics including negotiation and execution of Master Service Agreements (MSAs).
- Lead vendor management efforts including comprehensive oversight of third-party due diligence process vendor management compliance processes (Pharmacovigilance Quality Assurance data Privacy regulations etc.) vendor invoicing reporting and day-to-day communications.
- Deliver feedback and provide annual compliance and ABPI Code training and support to vendors.
- Proactively identify and resolve logistical or compliance challenges ensuring every event meets AbbVies quality compliance and attendee satisfaction standards.
- Support ongoing process improvements
Qualifications :
- Experience in Event Management Hospitality Business or related area.
- Demonstrable experience in end-to-end event planning especially within regulated and/or healthcare environments.
- Strong project management skills adept at managing approval processes budgets and complex vendor relationships.
- Knowledgeable in compliance protocols and industry guidelines (particularly ABPI Code and HCP-related).
- Excellent interpersonal and communication skills with a collaborative solution-focused approach to stakeholder and vendor management.
- Proficiency in event management platforms digital collaboration tools and Microsoft Office suite.
- High attention to detail ability to work both independently and collaboratively and manage multiple priorities under pressure.
- Commitment to continuous learning process improvement and creating memorable compliant event experiences.
