Colorado Mesa University (CMU) is seeking a .75 FTE Mailroom Supervisorto join our dynamic university environment where they willbe an essential part of our operations. This work group is comprised ofthe Purchasing Department. The Purchasing Department provides comprehensiveprocurement to order fulfillment oversight for the Colorado Mesa Universitycampus. Purchasing works closely with the AccountsPayable team for vendor payments. Included in this work units responsibilitiesare the administrative functions of procurement travel shipping andreceiving campus fleet management and campus mail distribution. The MailroomSupervisor is responsible for all incoming and outgoingcampus mail USPS package distribution reconciliation and provides support tofleet management. Some positions may require licensure or certification.


OVERVIEW AND ROLE SCOPE OF TEAM AND/OR TASKS
The Mail Room Supervisor isresponsible for all incoming and outgoing USPS campusmail and packages as well as providing logistical distribution across multiple CMUcampuses. The Mail Room Supervisor has working knowledge of campus mail distribution routes mail classification and sorting reconciliationand on campus mail delivery and outgoing mail pick up for daily meteringservices. The Supervisor will take campus standard marketing mailings toprocessing facilities.

The Mailroom Supervisor isresponsible for high level of customer service. This position is a point ofcontact for all carriers and campus users seeking mail services. It deploysmail services throughout varies routes while maintaining customer service atthe mail room location.

Logistical abilities needed in mail classification forcost efficiencies in recipient identification for delivery efficiencies andin offloading to assess the best method of retrieving packages includingpallet pulls forkliftextensions.

Mail Room Supervisor providesequipment maintenance and repair oversight for vehicles and equipment used inreceiving/delivering mail on includes two mini trucksa forklift 15-passenger vans and various small equipment includingpallet jacks dollies and other mail moving equipment.

This position provides supportto fleet management by assisting fleet users with pick up drop off clean outs andgas ups. This position is responsible for supervising work study students toaugment staffing needs and increase field efficiency in daily distribution.

The Mail Room Supervisor is requiredto be proficient in the departments eProcurement system andERP software soon to be Workday. The Supervisor will have a working knowledgeof Excel with the ability to compile data and run spreadsheets in support ofthe mail functions including reconciliation. The Supervisor will be proficientin the Microsoft Office Suite with Outlook and Teams being used as a primaryform of communication.

CAPACITY REQUIREMENTS
Receipt and delivery of all mail and packages fromcarriers (35% of Job):
Maintains the complete chain of custody for all mailutilizing campus tools and technology from the initial receipt to finaldelivery. This involves sorting researching discrepancies and distributingincoming mail and packages to all campus departments spanning main andauxiliary campuses including CMU Tech and Montrose. Acts as the primary pointof contact for external carriers like the USPS and others communicating theuniversitys evolving delivery needs across the expanding campus footprint.

Outgoing mail and package pick up classification drop off and reconciliation (40% of Job):
Involves strategic logistics and route managementensuring the efficient pickup of outgoing mail and packages. Keyresponsibilities include classifying mail by category coordinating timelydrop-offs and providing essential logistical support for complex orders andfinancial reconciliation.

Data Entry (15% of Job):
Manage the Universitys shipping accounts with vendorssuch as FedEx and the
United States Post Office (USPS). Provide financialreconciliation and process vendor payments for invoices under discretionarylevels all while ensuring compliance with Purchasing department protocols.

Functional Mailroom Set up (5% of Job):
Maintain organized mailroomspace to effectively preserve workspace and allow sorting of items with easy identification. Assistwith surplus relocation.

Fleet Rental Van Support (3% of Job):
Provide maintenance supportto the Universitys academic rentalfleet of 15-Passenger vans.

Other duties as assigned (2% of Job):
Includes but not limited to working with Facilities on projects as needed.

Decision Making:
Establishes protocols for efficiently routing mail to various departments faculty and administrative offices considering the academic calendar and peak periods to minimize delays.
Recommends whether to replace or repair equipment based on economics/cost.
Interview and select work study candidates for mailroom work.
Ensures mail security particularly in open or shared spaces.
Familiar with USPS mail regulations and rates including Standard Marketing mail Postage Due Business Reply Mail Priority Mail etc.

Complexity examples couldinclude:
Damage Reporting: Inbound mail has damage which must be noted and communicated to carrier. Decide to accept or send back.
Incorrect Manifest: Inbound package counts do not match manifest report count; Discrepancies must be noted with carrier. Affects financial reconciliation.
Research mail and delivery irregularities. Unfamiliar name could mean new employee or incorrect addressing.
Receiving Complexity: Decide on best method of offloading using equipment and tools. Packages can be heavy and sign off is required on site.

ESSENTIAL EXPERIENCE FOR RIGHT FIT

Experience Only:
One (1) year of shipping & receiving experience inclusive of:
Must have 6 months direct carrier package receipt experience Receiving from common carriers i.e. FedEx UPS DHL USPS
Must have 6 months delivery experience.
Must have evidence of computer data entry.
Evidence of excellent customer service.

Experience and Education Required:
Must have a high school diploma or equivalent.

Preferred Qualifications:
Evidence of increasingly complex strategic mail receiving and delivery
Technical skillset including data entry &/or reporting from enterprise ERP system.
Prior history of higher education campus delivery.
Active forklift operation certification and demonstrated work history with forklift use.

Conditions of Employment:
Must be able to pass pre-employment physical and drug screen.
Possession and maintenance of valid Colorado drivers license (Position requires ability to drive motorized vehicle and/or mini trucks for delivery on main and auxiliary campuses)

Possession of forklift certification or ability to receive forklift certification within 30 days of hire.
