Overview

The Specialist Project Management supports the planning coordination and execution of key initiatives across the Administration organization. This role provides structure and consistency to project activities by maintaining schedules managing risks and action items supporting cross-functional collaboration and preparing high-quality reports and presentations. Reporting to the Vice President of Administration the Specialist helps ensure that project plans deliverables and documentation align with departmental goals and that stakeholders have the information needed to drive decisions.

The ideal candidate brings practical project management experience strong analytical skills and the ability to work proactively and collaboratively in a fast-paced corporate environment.

What youll do

Project Coordination & Execution

  • Develop and maintain project plans schedules task lists and status trackers for departmental initiatives.
  • Monitor progress against milestones proactively identify risks or delays and surface issues for resolution.
  • Coordinate with cross-functional partners to gather inputs validate timelines and ensure alignment with project objectives.
  • Support execution of both short-term tasks and longer-term workstreams with minimal supervision.
  • Support onboarding of new project team members by providing access to project tools documentation and processes.
  • Maintain project tracking and dashboards using tools such as JIRA Power BI or other reporting systems.

Reporting & Communication

  • Prepare clear accurate and concise project status reports that summarize progress KPIs challenges and required decisions.
  • Create presentations and briefing materials for leadership communicating proposals alternatives or risks in a structured manner.
  • Support communication across project teams ensuring transparency alignment and follow-through on commitments.
  • Assist in preparing materials for steering committees or leadership reviews.

Governance & Documentation

  • Assist in enhancing the departments PMO framework by updating templates processes and standards.
  • Organize and maintain shared project materials across Teams SharePoint and other collaboration platforms.
  • Support audits or reviews by gathering evidence preparing compliance documentation and tracking improvement measures to closure.
  • Support change management activities related to new company processes tools or practices.
  • Serve as point of departmental window for process mapping and standardization activities such as QMS ISO etc.

Meeting Facilitation & Stakeholder Support

  • Schedule coordinate and facilitate project meetings including preparing agendas capturing meeting minutes and managing action items.
  • Track stakeholder requests dependencies and open issues to ensure timely closure.
  • Build productive working relationships with internal partners to support effective collaboration.
  • Serve as a point of contact for project inquiries and coordinate responses among project leads or subject matter experts.

Research & Planning Support

  • Conduct research and benchmarking to support project scoping cost estimates and evaluation of alternatives.
  • Assist in preparation of annual planning cycles including project prioritization.
  • Facilitate the development and tracking of operating and capital budgets for Administration departments.

Location & Travel Expectations:

  • This role will be based out of theScout Motors corporate headquarters in Charlotte NC. This role may be remote to start but will transition to an in-office setting at the headquarters within 3-6 months of start date. This role is not eligible for remote work in New York City.
  • The responsibilities of this role require dailyattendance in office with in-person meetings and events regularly.
  • Applicants should expect that the role will require the ability to convene with Scout colleagues in person and travel to participate in events on behalf of the companyfrom time to time.

  • Bachelors degree in business administration project management or a related field.
  • 4 years of experience supporting projects or operations in a corporate cross-functional environment.
  • Experience with structured project management practices and tools.
  • Strong understanding of project management methodologies and best practices.
  • Excellent written and verbal communication skills with the ability to prepare professional and executive-ready materials.
  • Proficiency with Microsoft Teams SharePoint Project PowerPoint Excel and other collaboration tools.
  • Demonstrated ability to manage multiple tasks simultaneously while maintaining attention to detail.
  • Analytical mindset with the ability to interpret data and provide meaningful insights.
  • Proactive organized and able to work both independently and as part of a collaborative team.
  • High degree of professionalism integrity and discretion
  • Minimum of High School Diploma GED or equivalent required for all roles at Scout Motors Inc.

Pay Transparency

This is a full-time exempt position eligible to receive a base salary and to participate in an annual performance bonus program. Final salary offered will be determined based on factors including but not limited to the candidates skills and experience. The annual performance bonus program is preset and not candidate dependent.

Initial base salary range $95000.00 - $120000.00
