The Resource to the Legal Department providing essential administrative and organizational support focused on corporate governance legal documentation and managing key legal projects. This role is vital for maintaining the efficiency and compliance of the legal function. This position requires exceptional attention to detail proficiency in document management systems and the ability to effectively collaborate with international teams across different time zones. The coordinator will also support tasks related to corporate entity management activity and insurance.

Responsibilities:
  • Financial & Invoice Management: Process and track outside counsel invoices and coordinate with the finance department for timely submission.
  • Corporate Entity Management: Assist in forming and managing corporate entities including drafting templated documents resolutions and coordinating signatures.
  • Documentation & Record-Keeping: Use entity management software to organize file and maintain all corporate records including electronic minute books ensuring accessibility and proper archiving.
  • System & Process Management: Establish and maintain organized document management systems apply consistent naming conventions and track important deadlines (e.g. annual filings).
  • Governance & Filings: Assist with annual filings and governance documentation including managing director and officer changes ensuring timely and accurate submission.
  • Insurance Coordination: Support insurance tasks such as timely cancellation of pre-existing policies for newly acquired entities and preparing for policy renewals.
  • Legal Document Preparation: Assist in drafting reviewing and preparing various legal documents (e.g. contracts amendments legal letters) ensuring consistency with templates and legal/business requirements.
  • Cross-Functional Support: Provide comprehensive administrative and organizational support for legal projects to internal teams ensuring effective cross-functional and cross-time-zone communication.




Requirements

  • Bachelors degree in law business administration or a related field.
  • Minimum of 2-3 years of experience as a legal assistant.
  • Prior experience in corporate governance or legal documentation.
  • Exposure to transactional work (e.g. mergers and acquisitions).
  • Strong command of English (written and verbal) and excellent overall communication skills.
  • Proficiency in legal document management systems or the proven ability and willingness to learn them quickly.
  • Exceptional organizational skills strong attention to detail and the ability to manage multiple deadlines effectively.
