Job Summary

POSTING: Finance Clerk

Full-time position



Primary Purpose: The Finance Clerk is responsible for providing accurate timely and efficient financial support to the Finance Department of Thessalon First Nation. This role ensures proper maintenance of financial records processing of transactions and compliance with applicable laws policies and funding agreements. The Finance Clerk supports the delivery of transparent and accountable financial services to Chief and Council program managers and community members.

RESPONSIBILITIES/Duties

  • Record day-to-day financial transactions in the accounting system in compliance with Generally Accepted Accounting Principles (GAAP) and First Nation financial policies.
  • Process accounts payable: verify invoices ensure appropriate approvals code expenses and issue payments.
  • Process accounts receivable: prepare invoices record payments and reconcile receivables.
  • Maintain accurate general ledger entries journals and subsidiary ledgers.
  • Assist with payroll preparation ensuring timesheets and pay data are entered accurately and on time.
  • Prepare and issue cheques electronic transfers and direct deposits as required.
  • Reconcile bank accounts credit cards and other financial accounts monthly.
  • Maintain up-to-date vendor and member records including Treaty/Distribution payments where applicable.
  • Prepare monthly financial summaries for review by the Finance Manager.
  • Assist in generating reports for program managers Chief and Council and funding agencies.
  • Support year-end audit preparation ensuring accurate records and supporting documentation are available.
  • Ensure all financial transactions comply with organizational policies contribution agreements and government funding guidelines.
  • Track and report on restricted funding (e.g. Health Canada Indigenous Services Canada Ontario Works Education).
  • Assist in monitoring budgets to ensure expenditures align with approved allocations.
  • Support the Finance Manager in providing financial information for funding reports and proposals.
  • Process and track member-related financial transactions such as Treaty payments honoraria assistance requests and reimbursements in accordance with policies.
  • Respond to inquiries from members vendors and staff in a respectful and professional manner.
  • Maintain confidentiality of sensitive financial and personal information at all times.
  • File and maintain organized financial documents (manual and electronic).
  • Assist in implementing internal controls to safeguard assets and ensure accuracy.
  • Provide support to program staff in preparing purchase orders expense claims and financial forms.
  • Participate in Finance Department meetings and contribute to continuous process improvements.
  • Perform other related duties as assigned by the Finance Manager or Band Administrator.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:

  • Post-secondary education in Accounting Finance Business Administration or related field.
  • Minimum 13 years of bookkeeping or accounting experience preferably in a First Nation or not-for-profit environment.
  • Experience with accounting software (e.g. Sage 300 Xyntax QuickBooks or equivalent).
  • Strong knowledge of Microsoft Office (Excel Word Outlook).
  • Knowledge of funding agreements and Indigenous Services Canada (ISC) reporting requirements considered an asset.
  • Strong attention to detail accuracy and organizational skills.
  • Ability to handle confidential information with integrity.
  • Effective communication and interpersonal skills with respect for cultural values and traditions of the First Nation.

Salary: $27.00/hr - $35.00/hr
