Administrative Support Services
Special Projects Coordinator
Reports To: Assistant Superintendent of Finance and Operations
FLSA Status: Exempt
Terms of Employment:
Twelve months/240 days; salary paid on Administrative scale and work year to be established by the Board
Job Summary:
Responsible for identifying competitive grant opportunities for the school district writing competitive and federal grant applications managing awarded grants and federal programs preparing final reports and required documentation and acting as the district liaison with community agencies to facilitate resource sharing.
Qualifications:
- Bachelors Degree
- Experience in public education (minimum of 5 years)
- Excellent written and oral communication skills
- Excellent interpersonal relations skills
- Such an alternative to the above qualifications as the Superintendent may find appropriate and acceptable.
Essential Duties:
- Assists the Superintendent for the purpose of instruction and the professional staff in planning for grant funded projects.
- Attends grant meetings required by funding sources.
- Assists staff as requested and conducts PD for drafting project proposals and successful grant writing techniques.
- Collects and analyzes data needed to support procurement of grant funding.
- Establishes standard procedures for data collection managing and completing final reports for grants.
- Completes and maintains all final reports and paperwork for grants to ensure documentation of activities and issues meeting compliance requirements requesting amendments and/or providing supporting materials for requested actions.
- Manages all aspects of grants received by the district for the purpose of achieving outcomes in relation to organizational objectives and ensuring conformance with legal financial and federal/state/local and District requirements.
- Coordinates funding and logistics for summer programs.
- Serve as district coordinator for federal programs including Title I II III IV and ATSI.
- Coordinates district annual federal programs meeting.
- Conducts needs assessment for each program annually.
- Submits annual grant applications and subsequent amendments in GEMS for approval and enters approved budget in GAPS.
- Works with district staff especially principals at Title I schools to ensure compliance with federal program guidelines and with district finance staff for quarterly grant claims.
- Coordinate comprehensive federal programs evaluation.
- Collaborates with community organizations IHEs and other districts to secure funding to support programs and initiatives.
- Serves as district contact with Keystone Substance Abuse Services York County All on Board Coalition and the Boys and Girls Club of York County including serving on boards attending regular meetings providing data for reporting and assisting with grant writing.
- Serves as district contact for Toys for Happiness including coordinating registration toy pickup from Rock Hill site set up and distribution in York.
- Assists other personnel as may be required for the purpose of contributing to the efficiency and effectiveness of the work unit.
- Serves as district contact for mental health therapists including coordination of hiring and placement of therapists
- Reviews Medicaid billing statements to ensure reimbursement and track revenue received
- Works with lead therapist and district Medicaid coordinator to ensure compliance with Medicaid guidelines
- Serves as one of the district contacts for school guidance counselors. Set up quarterly meetings coordinate PD and student activities using designated funding

Physical Requirements:
Requires sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations.
Working Conditions:
- Generally the job requires 80% sitting 10% walking and 10% standing.
- Requires fine finger dexterity to use office equipment office technology and maintain accurate filing systems.
- Effectively coordinate a variety of difficult technical administrative functions at a level requiring extensive independent decision-making within established rules policies and procedures
- Must regularly lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 50 pounds.
- May experience constant interruptions inflexible deadlines and changes to normal routines.
- Must be willing to work a flexible schedule to meet special project deadlines including working 1-2 evenings per month for Board and other public meetings.
