In partnership with Metrolinx ACCIONA is playing a key role in the design and construction of the Eglinton Crosstown West Extension (ECWE) a 9.2-kilometre westward addition to Torontos Line 5 light rail transit network. This major infrastructure project includes seven new stations and installation of rail and systems under a progressive design-build model.

Beyond its technical scope the ECWE project represents a significant investment in sustainable urban mobility expected to reduce greenhouse gas emissions by up to 5800 tonnes annually and eliminate over 6.5 million vehicle trips each year when combined with the full Line 5.

Job Description

The Resources & Invoicing Coordinator plays a key role in supporting monthly reporting resource tracking cost documentation invoicing preparation and commercial/contractual compliance activities. This position ensures alignment with project controls processes and transparency across all invoicing and resource management workflows.

  • Oversee in conjunction with the Cost Control team the timesheets from the Designer.

  • In coordination with the Technical Team will review and validate the number of resources and worked time per each deliverable.

  • Assist in the evaluation of the resources needed in case of changes and variances to complete design.

  • Oversee and comment the Designer business cases.

  • Monitor the progress of the design in term of time consumed and resources in comparison with the forecast.

  • Contribution to the preparation review and submittal of the workplans and forecast.

  • Assist and contribute to the client reconciliations and costs audits by organizing and presenting required documentation.

  • Prepare and compile monthly invoicing packages including backup documentation cost summaries progress evidence and resource data.

  • Maintain project logs spreadsheets and databases related to resource allocations cost capture and invoicing deliverables.

  • Review and validate supporting documentation (timesheets delivery tickets reports progress photos activity logs) for accuracy prior to submission.

  • Support preparation of progress evidence required by the client or independent certifier including resource summaries and cost verification records.

  • Track change order-related resource impacts support documentation of extra work and ensure proper cost coding for recoverable expenditures.

  • Assist in preparing monthly cost reports forecasting data and financial status updates for project leadership.

  • Coordinate invoice review cycles ensuring timely internal approvals and submission to the client.

  • Maintain organized digital and physical records of all the design invoicing resource and financial-related documentation in accordance with project controls processes.

Required Skills and Competencies

  • Diploma or degree in Business Administration Accounting Finance or a related field is preferred.

  • 25 years of experience in invoicing project controls support accounting or financial coordinationpreferably on construction or engineering projects.

  • Strong understanding of cost tracking principles invoicing workflows and project documentation requirements.

  • Proficiency with Excel and financial reporting tools; experience with ERP or project accounting systems is an asset.

  • Ability to interpret supporting documentation such as timesheets delivery tickets progress reports and cost logs.

  • Strong organizational skills with high attention to detail and accuracy.

  • Ability to work collaboratively with multidisciplinary teams under tight deadlines.

  • Excellent communication and documentation skills.
