Job Summary

ECLC Operations Manager

Position Summary
The Operations Managers a full-time position supporting the four ACA Early Childhood Learning Center (ECLC) programs. This role blends operational leadership with high-level administrative and billing responsibilities. The position ensures consistent high-quality operations across multiple preschool sites; supports regulatory compliance; manages administrative and billing systems; and helps maintain positive relationships with families staff and community partners.

Key Responsibilities

  1. Leadership & Program Operations
  • Support the ECLC Director
  • Develop implement and monitor operational systems across all ECLC sites.
  • Work collaboratively with K-8 school administrative teams and church administrative teams.
  1. Family & Community Engagement
  • Coordinate and conduct tours for prospective families.
  • Be knowledgeable with programs such as Brightwheel and Class Dojo to be able to assist families
  • Support partnerships with community organizations and vendors.
  1. Enrollment & Scholarship Management
  • Track new admissions and maintain enrollment spreadsheets.
  • Collect and organize enrollment paperwork.
  • Manage Early Learning Scholarship and County Child Care Assistance processes including tracking communication and documentation.
  1. Administrative Systems & Communication

  • Work with ACA marketing to maintain current website and program materials.
  • Coordinate special events including planning purchasing promotion and event-day support.
  • Order supplies using approved vendors and maintain inventory awareness.
  1. Billing & Financial Coordination
  • Set up billing track payments and maintain accurate billing records.
  • Manage scholarship invoicing reimbursement tracking and documentation.
  • Partner with ACA Finance Department to ensure accurate payment reconciliation.

Starting Salary: $60320

Starting salary is determined by the candidates teaching experience and education level

Required Qualifications

  • Associates degree in Early Childhood Education Business Administration Human Services or a related field.
  • Minimum of 2 years of administrative experience preferably in an education childcare or nonprofit setting.
  • Strong understanding of early childhood operations licensing or compliance systems.
  • Demonstrated proficiency with spreadsheets databases and digital record-keeping.
  • Excellent written and verbal communication skills.
  • Strong organizational abilities with consistent attention to detail.
  • Ability to multitask prioritize and manage time in a fast-paced environment.
  • Ability to maintain confidentiality regarding family staff and program information.
  • Ability to lift and move up to 40 pounds as needed for classroom or event support.

Preferred Qualifications

  • Bachelors degree in Early Childhood Education Business Administration Education Administration or a related field.
  • Experience in early childhood education settings particularly preschool or childcare programs.
  • Familiarity with Minnesota DHS licensing standards Parent Aware CACFP and MDH immunization audits.
  • Experience with tuition billing scholarship processing or financial tracking.
  • Fluency in Spanish
