Job Summary

This is a 8.0 hour per day 208 days per year Administrative Assistant I/Accounting Technician I position with benefits at Olympic View Middle School. Anticipated start date is January 5 2026.

Hours for this position are 7:15 a.m. - 3:45 p.m.

The successful candidate will be responsible for bookkeeping and budgeting managing purchase requests and ordering for staff inventory and ordering of supplies organization of field trips managing students and parents answering phone calls and general office duties; management of student attendance when needed and experience with health room coverage.

Minimum Qualifications:Willing to get first aid/CPR certification to help cover the health office.

JOB SUMMARY:

The Administrative Assistant I/Accounting Technician I is responsible for providing clerical and bookkeeping services for the principal and a variety of support services for staff students parents and community members.

PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:

  • Establish and maintain professional interactions with students staff parents and the general public. Greet the public answer phones assist with student and staff needs and respond to inquiries from students parents and staff.
  • Assist with front desk coverage for the main office to maintain continuity of school services.
  • Provide clerical services including letter composition analysis of information maintenance of databases and preparation of district reports.
  • Word process type data entry copy collate sort file and distribute documents.
  • Develop and maintain an organized office including record management an effective filing system and provide for record maintenance and retention management in compliance with district policy and state guidelines.
  • Maintain and record student account information including the data entry of fines fees and payments into the computerized student records system.
  • Monitor the general fund and ASB fund; prepare bank deposits receipt and reconcile funds. Under the direction of the school principal track and maintain current records of building and ASB budget balances and use appropriate account codes for programs. Reconcile budget balances and prepare related reports monthly.
  • Process requisitions and purchase orders; monitor and track the use of procurement card purchases; track and reconcile the imprest fund.
  • Responsible for all student store operations including supplies sales inventory bank deposits and reconciliation of funds collected through sales.
  • Order distribute and monitor supplies. Maintain and rotate supply inventories on a regular basis.
  • Prioritize and organize tasks for the purpose of meeting deadlines accessibility of information and completing tasks in a timely manner.
  • Comply with District Policies.
  • Perform other duties as required or assigned by the principal for the purpose of maintaining an organized and efficient environment.

JOB REQUIREMENTS: MINIMUM QUALIFICATIONS

  • Skill and ability with operating office equipment which may include: telephone computer typewriter calculator copier laminator and media equipment.
  • Knowledge of and ability to use various software programs related to job responsibilities.
  • Ability to complete multiple tasks simultaneously with frequent interruptions.
  • Ability to maintain regular and punctual attendance.
  • Knowledge and successful experience creating excel spreadsheets to sort check and verify a variety of data. Successful experience entering data and/or downloading information from another software program into Excel for the purpose of analyzing and checking fiscal/budget information.

Education/Training:

  • High school diploma or its equivalent.
  • Word process with accuracy at 60 w.p.m.
  • Must pass the clerical testing at the Administrative Assistant level.

Experience

  • One year of applicable office or clerical experience. Vocation or technical clerical training may substitute for work experience.
  • Two (2) years of applicable bookkeeping cashiering or banking experience.
  • School district experience preferred.
  • Ability to use a computerized student record management system to maintain student data and information preferred.
