Job Summary

Education Qualifications: -

Bachelors degree in engineering Information Technology Library & Information Science or related technical discipline. Masters preferred.

Desirable Certifications: Certified Document Controller / Records Management (ARMA) DMS vendor admin certs (Aconex/ProjectWise/SharePoint) PMP or equivalent is an advantage.

Experience & Skill set:

Experience & Domain Knowledge
  • Minimum 15 years experience in document control within Infrastructure / EPC / Construction / sectors; with at least 5 years in a lead role managing multi-project operations (PAN-India / international exposure preferred).

  • Proven experience implementing and administering enterprise DMS at scale; hands-on with transmittals revision control archival and legal holds.

  • Experience preparing inspection/dispatch dossiers supporting third-party & client inspections and statutory submissions.

Technical Skills & Software Proficiency
  • Expert user and administrator of document control software (Aconex Oracle Primavera Unifier Bentley ProjectWise SharePoint/OneDrive ECM Documentum or similar).

  • Advanced MS Office (Excel expert - pivot tables macros) Power BI / Tableau for dashboards; comfortable with basic SQL/scripting for data extracts.

  • Familiarity with ERP/Project Control / QMS integrations and practical knowledge of ISO 9001 documentation controls EHS documentation (ISO 14001 / ISO 45001) and regulatory filing processes.

Roles & Responsibilities:

Key Responsibilities A. Policy Systems & Governance
  • Develop and own the Corporate Document Control Policy Naming & Revision Conventions Retention & Archival Schedules Transmittal Procedures and DMS governance.

  • Selectconfigure and administer DMS platforms (Aconex/Oracle/ProjectWise/SharePoint/other) and ensure secure integrations with Project Control QA/QC Contracts and Procurement systems.

  • Implement and monitor folder structures access roles backup and legal-hold procedures.

B. Implementation & Rollout
  • Prepare an implementation roadmap and lead DMS rollouts at HQ and projects including change management.

  • Create standardized trackers/registers for all document types (drawings submittals RFIs NCRs test certificates statutory permits contracts O&M manuals as-builts and other documents).

  • Implement transmittal workflows and automated approval routing.

C. Team Building & Operational Management
  • Recruit train and manage a centralized Document Control team (HQ leads project Document Controllers). Define roles KPIs SLAs (retrieval time filing accuracy transmittal turnaround) and performance metrics.

  • Deploy controllers to projects and provide ongoing coaching audits and competency development.

D. Preservation Retrieval & Compliance
  • Ensure version control secure storage redundancy and rapid retrieval capability (defined SLA). Manage archival destruction schedules and statutory submissions in line with contract and legal requirements (including international jurisdictional rules).

  • Maintain inspection/dispatch dossiers ensure lot-wise documentation for third-party / client inspections and statutory audits.

E. Reporting Dashboards & Continuous Improvement
  • Produce consolidated dashboards and periodic reports for Corporate Quality Head: document status overdue approvals retrieval metrics audit readiness and corrective actions.

  • Drive continuous improvement: process reviews gap analysis corrective actions from audits and lessons learned implementation.

Working Conditions & Travel
  • Based at Corporate HQ Hyderabad. Frequent travel (30 50%) to project sites across India and occasional international travel.
