Job Summary
Advanced administrative support clerical and secretarial work. Performs technically varied and complex word processing; clerical and secretarial functions interprets and enters data; and interprets and applies policies and procedures. This class lies above that of Clerk I and below that of High School Secretary. Positions are located in Middle School Principals offices.
Essential Functions
1. Secures time sheets from all personnel i.e. certificated classified and substitute teachers and prepares attendance reports and payrolls.
2. Orients substitutes to procedures giving out pertinent information including lesson plans for the day.
3. Composes correspondence without review and/or specific instructions.
4. Types and/or prepares letters memoranda reports records orders transcripts and other official documents.
5. Keeps current files on teachers maintenance requests and memorandums.
6. Makes appointments for students and parents.
7. Assists students and school personnel in routine problems requiring exercise of mature judgment gained through experience.
8. May provide support to assigned schools Bookkeeper and function as his/her backup.Â
9. May oversee monitor and/or review the work of others such as Clerk s and Office Assistants and provide guidance and training to volunteers parents and other employees.
10. Performs related duties as required.
Probation:Six (6) months
Qualifications
Open Requirements: Must have at least a two (2) year combination of education training or experience in secretarial clerical and/or bookkeeping work involving the use of a personal computer. Successfully completed job-related college-level course work such as Business Mathematics Business Communication English Composition Accounting Finance Office Management and Computer Science may substitute for the required experience on the basis of three semester hours for three (3) months of experience. Must be able to type at a rate of 30 correct words per minute.
Promotional Requirements: All permanent employees of the Duval County School Board who have satisfactorily served for one (1) year in the class of School Clerk I *Data Entry Clerk or a combination of the two (2) equaling a total of one (1) year may apply. Must be able to type at a rate of 30 words per minute.

- Knowledge of bookkeeping and office practices and procedures
- Knowledge of Business English
- Knowledge of Duval County Public School payroll leave purchasing and general budgetary policies procedures rules and regulations
- Knowledge of school rules and regulations
- Strong word processing spreadsheet database and calendar software skills
- Strong oral written and interpersonal communications skills
- Strong skills in decisions making
- Ability to oversee monitor guide and review the work of others
- Ability to handle confidential information with discretion
- Ability to establish and maintain effective working relationships with administrators teachers other employees parents and the general public
- Strong skills in establishing and maintaining information record document and file systems
