Duties and Responsibilities:

This position serves as the staff assistant for the Waterfowl and Small Game Management Program and the Wild Turkey and Furbearer Management Program. This is a 0.5 (half-time) career service position working 20 hours/week.

The incumbent:

Receives telephone calls and visitors and disseminates information on program activities and Commission programs to the public. Handles and distributes incoming and outgoing mail/ email. Maintains hard copy and electronic files. Researches and assembles data for reports. Prepares composes and tracks correspondence on administrative issues. Maintains calendars schedules meetings and makes travel arrangements. Assists program staff with policy and procedure questions.

Reviews vouchers and invoices for accuracy and completeness. Orders equipment and supplies and prepares direct orders for such acquisitions and prepares and submits various periodic reports (e.g. vehicle operation purchasing card reconciliation).Processes and tracks purchasing and payment records and reports and processes administrative paperwork related to personnel property etc.

Types (word-processing and data entry) proof-reads and submits technical reports correspondence and miscellaneous administrative paperwork. Provides liaison duties with other sections divisions and the public for the programs when requested which includes relaying and interpreting established policy and providing information for the resolution of problems. Copies reports correspondence and administrative forms for filing mailing and distribution to the public and conducts other administrative and secretarial duties as assigned.

Performs related work as required.

The Commission expects its employees to be courteous and respectful while assisting Commission customers and stakeholders ensuring each encounter is as positive as possible. Employees should promptly resolve questions or problems relating to the Commission its programs or fish and wildlife resources. Employees should seek to gain public support for agency objectives and programs by serving Floridas citizens in a positive and proactive manner and by listening to what the customer wants and striving to meet their needs. When appropriate employees will explain the reasons for agency actions or decisions while communicating a consistent FWC point-of-view.

Commission employees are responsible for following the provisions and requirements in Section 215.422 Florida Statutes related to the Comptrollers rules and FWCs invoice processing and warrant distribution procedures. Work at FWC is cross-functional meaning duties may cross division or office lines. The Commission expects employees to function across FWCs organizational structure by providing their skills and expertise wherever needed through work on teams or as directed.

Knowledge Skills and Abilities:

  • Knowledge of administrative and clerical procedures principles and practices.
  • Knowledge of correct English composition grammar and punctuation.
  • Knowledge of Microsoft Office applications including Word Excel Outlook SharePoint and Teams.
  • Ability to ensure proper and timely completion of work assignments and activities.
  • Ability to understand comply with and apply rules policies and procedures applicable to the conduct of a Commission employee.
  • Ability to communicate effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships with others.
