Job Summary

THE SELECTED CANDIDATE WILL BE OFFERED A SALARY BETWEEN $62868 - $72298.

The Administration for Childrens Services (ACS) protects and promotes the safety and well-being of children and families through child welfare and juvenile justice services and community supports. ACS manages community-based supports and foster care services and provides subsidized child care vouchers. ACS child protection staff respond to allegations of child juvenile justice ACS oversees detention placement and programs for youth in the community.

The Office of the General Counsel (OGC) provides legal representation and advice to the Commissioner and all divisions at ACS. OGC identifies areas of legal vulnerability and coordinates with other Divisions to ensure compliance with court orders consent decrees and other legal and regulatory mandates. OGC also works closely with the NYC Law Department to minimize risk and avoid litigation and defend ACS in class action and individual lawsuits. OGC is comprised of six legal units and two non-legal units.

The Office of the General Counsel (OGC) FOIL/Records Compliance & Records Management Unit seek a Community Coordinator/ RMU Special Assistant. The Records and Compliance Unit (RCU) within the Office of the General Counsel is responsible for all FOIL requests for the agency; all closed records requests for the agency; is the agency the liaison for the New York City Law Department Torts Division; the Special Federal Litigation Unit; the unit provides advice and support to agency staff regarding the confidentiality of child protective services records and the Identifying Information Law which is the responsibility of the Agency Privacy Officer (APO) who is responsible for monitoring the agencys compliance with this local law by collecting agency wide data and submitting all reports to the Chief Privacy Officer the Mayor and the NYC Council.

Within RCU the Records Management Unit (RMU) provides support to the entire agency in retrieving and storing records. This requires coordination between the RMU warehouse and the vendor in Jersey City; the RMU warehouse is responsible for ensuring that the State Central Register (SCR) administrative review documents are submitted in compliance with NY Social Services Law.; The Records Management Unit is responsible for expunging records in accordance with NY Social Services Law.

Under close supervision of the Director of the Record Management Unit the RMU Special Assistant candidate will be responsible will include but is not limited to:

- Acts as a liaison for the unit during the weekly meetings with the Division of Administration and for the Record Point meetings.

- Coordinates all meetings with the Department of Records (DORIS) for divisions of ACS and community-based agencies.

- Manage the Warehouse Inventory Tracking System (WITS) for RMU including access to the WITS database.

- Conduct weekly WITS trainings in-person and virtually for agency and non-agency staff.

- Manage the WITS warehouse unit and conducts weekly meetings with staff assigned to the WITS unit.

- Manage all RMU projects related to WITS including scheduling all warehouse WITS deliveries and the quality assurance process for WITS entries.

- Respond in a prompt manner to inquiries sent to the shared WITS electronic mailboxes.

- Prepare reports on all Daily Warehouse Inventory Tracking System Trainings for all ACS offices and departments.

- Manage special projects with agency divisions contracted vendors and the GRM warehouse for storage of records.

- Assist with managing the Electronic Document Management System (EDMS) digital system including scheduling trainings for agency staff.

- Assist the Director of the Warehouse with administrative duties within the warehouse.

- Prepare reports on all Daily Warehouse Inventory Tracking System Trainings for all ACS offices and departments throughout the 5 boroughs.

Qualifications :

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to 1 or 2 above. However all candidates must have at least one year of experience as described in 1 above.
