Job Summary

CRM Administrator

We are seeking a highly organized technically skilled and proactive CRM Administrator to elevate how our organization leverages its CRM platform (Total Expert). In this role you will optimize every aspect of our CRM and marketing systems to empower the Sales and Marketing teams streamline processes and drive measurable growth.

This position is ideal for someone who enjoys solving problems enhancing workflows improving data quality and ensuring that technology is used to its full potential across the organization.

Essential Duties:

  • Provide daily administrative support across Marketing and Sales using systems such as Total Expert (or similar CRM) WordPress MAXA social media platforms (Facebook Instagram LinkedIn YouTube Google Business) review platforms and Testimonial Tree
  • Become the subject-matter expert for the CRM platform and optimize its full functionality
  • Serve as the primary CRM administrator aligning the platform with business goals and enhancing sales and marketing outcomes
  • Lead CRM-related projects including integrations new feature launches data enrichment initiatives and vendor coordination
  • Build test launch and monitor automated email campaigns including logic design and performance analysis
  • Train new employees on CRM and marketing platforms providing continued education as new features roll out
  • Deliver data-driven reporting on CRM usage campaign performance and optimization opportunities
  • Conduct ongoing vendor meetings to evaluate system performance and explore new functionality
  • Stay informed about emerging marketing technologies and recommend tools to enhance departmental efficiency
  • Manage company website content to ensure accuracy compliance and brand consistency
  • Regularly post to corporate social media accounts monitor engagement and support overall digital presence
  • Assist sales team members with system troubleshooting and marketing platform questions
  • Oversee new hire onboarding for marketing tools and workflows
  • Provide recurring reports on system activity online reviews analytics and campaign performance

Requirements:

  • Bachelors degree in a related field
  • 2 4 years of relevant experience
  • Prior experience managing or administering a CRM platform (Total Expert preferred)
  • Mortgage or real estate industry experience is a plus
  • High level of detail orientation accuracy and quality control
  • Strong communication interpersonal and customer service skills
  • Ability to work both independently and collaboratively
  • Proficiency in Microsoft Office Google Workspace basic HTML/CSS and Google Analytics
  • Familiarity with social platforms including Instagram Facebook and LinkedIn
  • Process-driven proactive and committed to continuous learning
  • Able to perform effectively under pressure while maintaining a positive solution-focused mindset
