SURGICAL SUPPLY:
Prepares all special order supplies/tissue/implants for surgical
cases daily.
Inspects all supplies going to operating room for quality
packaging and expiration dates to ensure product integrity and patient safety.
Restocks all supply areas/carts in operating suite areas to maintain adequate inventory.
Reviews OR schedule in a timely manner in preparation to order supplies/implants/tissue for upcoming cases.
Maintains repair logs for items that fall within teams scope.
Responsible for contacting vendor representative to coordinate emergency delivery of implants or human tissue and/or contacting area hospitals to borrow implants if needed.
Responsible for reconciling any inventory system on-hand quantity variances vs. actual on-hand quantities.
Responsible for daily coordination integrity and stability of the Operating Room Inventory as it relates to maintaining par levels adding new items deleting items product increases volume increases etc.
Ensure sterility of product while inspecting products for expiration date and package integrity.
Creates new items in MGB database using the Workday and EPIC systems and ensures all product information is maintained accurately. Updates stock sheets locator systems and labels.
Acquire and documentation of Return Goods Authorizations from vendor when necessary packaging product for return to vendor.
Maintains professional relationships with sales representatives to ensure a compliant and safe environment.
Maintains all files relating to departmental purchases and supply requisitions as well as coordinating pending receiving returns and close out files.
Assumes the responsibilities of the OR Inventory Specialist in the case of his/her absence.
Stocks products using FIFO (First In First Out-rotational) procedure to maintain inventory par levels while coordinating all product issues. These include but are not limited to adding and deleting items and working with vendors on returns recalled back ordered substitute defective and expired items.
Maintains timely and accurate data within department Backorder Report. Acquires loaner and substitute items when needed and obtains clinical approval from OR staff.
Communicates with staff daily regarding back ordered and recalled supplies new or deleted items and changes in procedure
Assists OR Billing team with supply reconciliation to ensure patient record accuracy.
Tissue and Implants:
Responsible for the procurement storage and record keeping of human tissue in the O.R. Tissue Bank within the guidelines of the FDA AATB and Joint Commission.
Ensures all human tissue is procured from FDA registered and AATB accredited Tissue Banks.
Responsible for ensuring Tissue Bank Tracking Information Card with all pertinent information is filled out correctly by clinical staff and is sent to corresponding vendor in timely manner.
Responsible for maintaining par/consignment levels of all asset inventory and raising/lowering par-levels of non-consigned inventory by monitoring how often an implant or type of implant is used over a specific timeframe.
Responsible for notifying manager of the need to raise or lower consigned inventory by preparing and presenting a usage report for an implant or type of implant.
OTHER DUTIES:
Work with the customers (e.g. Nursing) to identify any specific needs or concerns. Provide general customer service and coordinate with OR Materials Management to ensure proper and timely product and service delivery and/or to customize or develop programs to meet customer requests.
Participates in internal department meetings and responsible to gather facts present documentation or perform other tasks related to the development of procedures or programs relating to inventory.
Works within an Operating Room environment understanding sterile technique used during surgery and ensures supply stocking locations meet hospital and infection control standards.
Works within the hospital and departmental policies relating to hospital safety and infection control.
Performs other duties as requested by the Surgical Supply Director.
