We are looking for a full-time Receptionist/Office Administrator.
KGA provides employee assistance services to help organizations create and sustain a healthy engaged and productive workforce. Our services include robust Employee Assistance Programs professional development and training and other wellness services. We are currently looking to hire an Office Administrator to join our this role you would work as part of a 3-person team to answer incoming client calls and provide administrative support to KGA teams. Our phones are the primary method used by clients seeking help for mental health and family/home/life services. It is important that all calls are answered with caring compassion and respect.
Hours:
The hours for this position are Monday-Thursday 9:00am-5:30pm; Fridays from 8:30am-5:00pm. This position can be done remotely 80% of the time and does require onsite attendance at least 2 half days per KGA we believe it is crucial to promote the wellbeing of all.
Office Administrator Responsibilities:
- Answering incoming phone calls and act as the point of first contact with clients reaching out for mental health services. Assess client information needs and direct them to the appropriate team for services in a timely manner.
- Work as part of a team in monitoring different methods of contact that clients may use including email scheduled intakes and mail.
- Provide general administrative support to all KGA teams including mailing supplies to client organizations drafting service agreements entering reports in our database and other administrative tasks as needed.
- Work with our Wellness Specialist to organize and distribute collateral materials to be used onsite at client locations.
- General office support - keep common areas kitchen and printer room tidy. Greet guests when needed. Coordinate lunch orders. Load/unload dishwasher.
Requirements:
- Excellent communication skills including phone writing and customer service
- Strong skills in databases MS Office Suite
- Strong attention to detail in all aspects of work
- Minimum of 2 years administrative experience
- Excellent organizational skills; ability to juggle multiple priorities
- Experience working on an interdependent team
- Bilingual (Spanish/English) candidates are strongly encouraged to apply
