The Watch Shop Coordinatorplays a key role in supporting our repair and production operations. This position partners with part suppliers to order and track inventory performs audits and quality checks on incoming parts and ensures all customer repairs are processed accurately efficiently and on time. The role also collaborates closely with Sales staff to enter orders into the POS system prepare estimates and photograph items during the intake process.
Because this department handles a significant volume of high-value merchandise the Merchandising Coordinator must consistently demonstrate exceptional honesty accuracy and trustworthiness. Responsibilities may vary day-to-day and success in this role requires flexibility and strong cross-functional collaboration.
Inventory & Receiving
Inspect and quality-check merchandise received against purchase orders.
Process receipts print and apply inventory tags.
Receive trade-ins and returns; confirm quality standards and determine pricing using approved sources.
Purchase Orders
Enter and maintain purchase orders in the system; track status and communicate delays to the Shop Manager.
Place orders on schedule at the direction of the Shop Production Supervisor and Watchmakers.
Special Orders
Place enter monitor update and price special orders in a timely manner.
Receive process and prepare special orders for Guest Services.
Alert Shop Manager to any discrepancies.
Vendor Communication
Request and verify vendor quotes; monitor pricing for inconsistencies.
Follow up on overdue purchase orders.
Coordinate with vendors regarding repairs returns and replacements.
Repairs & Job Processing
Create track and close repair and custom jobs for jewelry and watch shops within the POS system.
Photograph merchandise during intake and completion.
Assist the Shop Manager Shop Production Supervisor and repair specialists with daily workflow to ensure timely processing.
Partner with Guest Services and our Greenwood location to facilitate job transfers.
Physical Inventory
Prepare for participate in and reconcile physical inventory counts.
Recommend process improvements to ensure accurate tracking and efficiency.

High school diploma or equivalent required; some college or a degree preferred.
23 years of experience in the jewelry or watch industry is a strong plus.
Must be authorized to work full-time in the United States.
Ability to work in a professional office environment using standard office equipment.
Physical requirements include frequent talking listening standing walking using hands and reaching with arms. Some tasks may require extended periods of sitting standing or walking and occasional stair climbing.
