About the Role & Team
As a key member of the team your primary responsibility will be to provide comprehensive administrative and organizational support. This includes managing travel arrangements coordinating schedules and ensuring seamless day-to-day operations.
The role will be office-based Monday - Friday working in our Head Office in Uxbridge.
Key Responsibilities:
Diary Management:
- Manage and coordinate a complex diary ensuring effective scheduling of meetings events and appointments.
- Prioritize and reschedule activities as needed to meet dynamic business requirements.
- Ensure all appointments are well-prepared with relevant materials and information.
Travel Coordination
- Organize and manage all aspects of international and domestic travel including flights accommodation visas and itineraries.
- Provide real-time travel support to handle any unforeseen changes or challenges.
Administrative Support:
- Prepare correspondence reports and presentations as required.
- Handle confidential and sensitive information with discretion.
- Manage and organize files records and documentation to ensure easy retrieval.
Communication Management:
- Screen and prioritize emails calls and other communications.
- Act as the first point of contact for the Director maintaining professional communication with internal and external stakeholders.
Project and Task Management:
- Assist with project coordination ensuring deadlines and deliverables are met.
- Monitor and follow up on delegated tasks and actions providing regular updates.
Personal Assistant Duties:
- Provide ad-hoc support for personal tasks and errands as needed.
- Manage expenses including timely and accurate submission of expense reports.
Event Planning:
- Assist in planning and organizing business and team events.
- Coordinate logistics for meetings including booking venues and arranging catering.
Team Support:
- Liaise with colleagues to ensure alignment and support for wider departmental goals.

Key Skills & Experience:
- Proven experience as a Personal Assistant or Executive Assistant in a fast-paced environment.
- Exceptional organizational and time-management skills.
- Strong attention to detail and the ability to handle multiple priorities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Familiarity with travel booking systems and expense management software is an advantage.
- Experience in the housebuilding or property sector is desirable but not essential.
- A proactive and resourceful approach with the ability to work independently.
