In this position youll support our front-line customer service operations by managing essential administrative tasks processing orders with care maintaining accurate data and helping ensure our work meets export control regulations and internal compliance standards. Work model: Hybrid (3 days in the office / 2 days from home)
Key Responsibilities:
- Communicate with internal customers (by phone and email) regarding:
- Availability of goods with consideration of export restrictions and licensing requirements
- Order delivery dates ensuring compliance with export schedules and documentation
- Complaints during delivery related to export compliance issues
- Liaise with carriers and logistics partners (by phone and email) to:
- Confirm order delivery dates and returns in compliance with export regulations
- Address logistic complaints including those related to customs clearance and export documentation
- Manage orders with attention to export compliance by:
- Verifying and updating shipping addresses delivery dates warehouse locations and quantities in accordance with export control policies
- Ensuring that orders comply with export licensing and embargo restrictions before processing changes
- Enter technical complaints (without processing) and issue credit notes ensuring that any returned goods comply with export control requirements
- Handle logistical complaints by:
- Analyzing cases with a focus on export compliance implications
- Issuing credit notes debit notes and managing returns in line with export regulations
- Organize and ensure the return of goods from customers to the warehouse verifying compliance with export control and customs procedures
- Maintain accurate records and documentation to support export compliance audits and reporting
- Provide business support during shift hours until 5:00 p.m. ensuring timely resolution of export compliance-related inquiries and issues
Requirements:
- Education: Secondary education or higher and/or 2 years of relevant experience preferably with exposure to export compliance or international trade operations
- Language: Fluency in English with the ability to understand and communicate export compliance terminology
- Technical Skills:
- Proficient in MS Office
- Experience with SAP/Client Link and other ERP systems is a plus especially modules related to export documentation and compliance
- Personal Skills:
- Strong problem-solving skills with a focus on compliance and regulatory adherence
- Ability to take ownership of export compliance-related tasks and ensure accuracy
- Excellent communication skills to coordinate with internal teams carriers and customers on compliance matters
- Team cooperation and conscientiousness to uphold organizational export compliance standards
