Please note: we are looking for candidates to be based in and around London and are happy to come to our London office 3 times per. week. If you are based outside of London you must be happy to frequently travel to our office. Important: This role needs good overlap with US West Coast hours. 4 days a week will therefore be 11am - 8pm or 12pm - 9pm. If this does not work for you we actively discourage applying.

We are the first company to receive a NICE recommendation for an autonomous AI medical device to be used across the NHS dermatology pathways which is deployed in more than 28 NHS organisations and growing. Additionally we collaborate with some of the largest health insurers to reach patients in their own homes. The Role
Provide high quality operational and administrative support to the CEO to ensure his time energy and attention are focused on the most important priorities. This role will own the CEOs calendar inbox logistics travel and key meeting administration working closely with the Chief of Staff and senior leadership team. The EA will be based in London with working hours tailored to support a California based CEO who has monthly visits to the UK.

Responsibilities

  • Own and optimise the CEOs calendar proactively scheduling prioritising and rescheduling meetings to maximise impact across US and UK time zones.
  • Manage the CEOs inbox including triaging drafting routine responses routing messages to the appropriate internal leads and highlighting urgent issues.
  • Provide logistics and administration for key internal meetings including agenda coordination materials collation minute taking and action tracking.
  • Coordinate complex international and domestic travel itineraries and monthly UK visit schedules ensuring smooth logistics.
  • Maintain key administrative processes for the CEO (expenses approvals signatures document organisation) and support light project administration as needed.


Requirements

  • Significant experience (5 - 7 years) as an EA or PA supporting a CEO founder or C-suite executive in a fast-paced environment ideally tech/healthcare/scale-up.
  • Demonstrated track record of owning calendars and inboxes working across time zones and managing complex travel and meeting schedules
  • Strong written and verbal communication skills with experience drafting professional correspondence and producing clear concise minutes.
  • Proficiency with collaboration tools (Gmail GCal Google Docs/Sheets/Slides Slack Notion).
  • Exceptional organisational skills attention to detail and ability to manage multiple competing priorities.
  • Proven discretion and sound judgement when dealing with confidential and sensitive information.

Ways of Working

  • London based with a standard pattern of late shift hours to accommodate California time zone
  • Works in close partnership with the Chief of Staff to ensure alignment of the CEOs time with company priorities.
