Job Summary

Full-time Remote PST Overlap Required

Rafael Alexandrian CPA Inc. is a fast-growing virtual accounting and tax advisory firm providing personalized financial services to individuals and small businesses across the U.S. Founded and led by CPA and former Disney/Tech CFO Rafael Alexandrian the firm has evolved from a seasonal solo practice into a year-round operation and is now hiring its first full-time team member.

We are looking for a Business Assistant who will work directly with Rafael to ensure smooth daily operations organized client communication structured workflows and an exceptional client experience. This role is ideal for someone who is extremely organized proactive responsive and eager to grow within the accounting field.

What youll do

  • Manage client communication: respond to simple inquiries field unscheduled calls provide meeting links and ensure clients follow the correct process.

  • Organize Rafaels inbox track action items summarize questions that require his attention and maintain communication flow.

  • Support client onboarding: guide new clients through required steps track missing documents and ensure all items are submitted through the correct portal.

  • Maintain the document intake process and enforce proper submission through Soraban (the firms client portal).

  • Manage Rafaels calendar: schedule calls maintain time blocks and prevent last-minute interruptions.

  • Assist with operational organization checklists trackers file management and workflow improvements.

  • Handle light bookkeeping-related administrative tasks (not accounting) such as organizing statements and reminding clients to upload documents.

  • Identify inefficiencies in processes and propose improvements.

What were looking for

  • 34 years of administrative operations VA client support or business assistant experience.

  • Strong understanding of basic accounting or bookkeeping concepts or experience supporting financial/tax businesses.

  • Excellent English written and verbal communication skills clear professional and fast.

  • Highly organized with strong attention to detail.

  • Proactive responsive self-driven no hand-holding required.

  • Comfortable handling client communication in a service-oriented professional tone.

  • Experience with Google Workspace.

  • Familiarity with QuickBooks Online or any CRM platform is a plus.

Working Hours

8 hours a day Monday to Friday 8 AM - 5 PM (Pacific time zone).
