Job Overview
Our client is seeking a detail-oriented and highly organised Virtual Admin Specialist to join their Licensing Team. This role provides administrative support to tradespeople across Australia as they work toward obtaining their builders registration or plumbing licence.
Ideal Candidate
You are tech-savvy process-oriented and confident working with multiple online systems. You thrive in a structured environment and enjoy supporting clients through accurate document handling and workflow management.
Key Responsibilities
- Onboarding clients by reviewing and checking of submitted (client) documentation from online customer upload portal
- Check submitted information and documents to ensure meets or exceeds selected criteria
- Respond to clients with request for further information as per selection criteria ( this is via online portal communication text fields this is non verbal and admin person not required to communicate / speak directly with client).
- Perform document download automations that automatically sync individual application completion.
- Complete final check & upload to regulator body portal (as required)
- Reconcile project dates and work histories to ensure matches work periods and selection criteria
- Follow structured workflow process at high level of efficiency and quality
- Supporting the customer-facing team by providing a detailed report of outstanding items.
- Providing feedback on cover letters and project summaries to client.
Requirements
- Must have high level of Microsoft capability and knowledge ie SharePoint Teams workflow planner Copilot as well as Word Excel etc
- Understanding of CRM platforms and processes
- Highly systems driven with ability to adopt dynamic work environments and adaptability
Benefits
- Monthly Salary: Php35000
- Salary will be paid on a bi-monthly basis on the 15th and 30th or 31st of each month
- You will be paid extra for overtime and Philippines public holidays
- Probation: 6 months and after Probation
10 days annual leave credits
5 days of sick leave
- HMO Offered after 6-month probation
- 13th Month Pay after 30 days
- Annual Salary Review
- Laptop provided after 30 days
- Permanent work-from-home role. You will have to use your own internet.
- SHIFT TIMES: 6 AM to 3 PM Philippine time Monday to Friday
Required Skills:
Proven experience as an Executive Assistant Administrative Assistant or Bookkeeper. Strong background in general reconciliation balancing books and bookkeeping. Experience in the following tools: Xero MYOB QuickBooks CRM Trello Asana Canva Experience with social media management content creation and engagement. Excellent organisational and time management skills with the ability to multitask. Strong attention to detail and accuracy in financial and administrative tasks. Strong written and verbal communication skills. Experience with Australian bookkeeping practices is a plus but not required Ability to work independently and in a team environment.
Required Education:
- High proficiency in Microsoft applications including SharePoint Teams Workflow Planner Word and Excel.- Strong understanding of CRM platforms and administrative processes.- Excellent attention to detail with the ability to work systematically and independently.- Highly adaptable comfortable working in a dynamic process-driven environment.- Strong organisational and time-management skills
