About the Role
Reporting to the General Manager - Medicine and Womens and Childrens Health this high-paced but rewarding role sees you providing top-level administrative support to the Directorate that oversees most medical speciality functions for Health New Zealand Southern.
As part of the Directorates leadership team you will coordinate support and interact with the staff of all services in the Directorate as well as many external organisations internal stakeholders across our regional and National business functions as well as from time to time patients and their Whāanau.
This rewarding position is largely an autonomous role that demands diligence and efficiency. Your daily routine could involve any of the following activities:
Facilitating communication channels
Organising meeting agendas and taking minutes
Email management
Overseeing schedules and complex diary management
Managing patient feedback and complaints media and Official information request inquiries.
Coordinating the Directorates adverse events processes arranging family meetings and liaising directly with Patients and Whānau
Maintenance of financial and human resource systems and reporting
Coordinating information for various reports
Collation of monthly reporting
Overseeing general office administrative duties e.g. contract management processing expense claim and invoicing etc.

About you
To hit the ground running you will have a background in senior-level administration and demonstrate skills to anticipate prioritise and deliver in a complex environment. You will have the ability to take direction when required and the confidence to build successful working relationships across a large organisation.
To be successful in this role you will also need to demonstrate the following:
Excellent interpersonal skills and a highly professional demeanour with the confidence to build successful working relationships across a large organisation.
Keen eye for detail and initiative to allow you to complete complex tasks with minimal supervision.
Strong computer skills including an unrivalled proficiency in Microsoft 365.
Exceptional communicator who can offer trusted support with the ability to provide solutions on your feet.
Confidence and the ability to collate and draft written letters reports and responses
