Sony Pictures Entertainment is looking for aCoordinator to join the SPE Production Administration looking for a resourceful forward-thinking Coordinator to partner closely with an Executive Vice President and support multiple feature productions from early prep through wrap. This role sits at the heart of studio operations bridging communication between productions and internal departments managing essential workflows and ensuring the EVP stays fully informed and supported.
Responsibilities:
Manage the EVPs daily workflow including heavy calendaring phones rolling calls prioritizing communications and tracking follow-ups.
Coordinate domestic and international travel for the EVP and early production teams; prepare detailed itineraries and handle urgent travel issues.
Process and reconcile EVP expense reports.
Serve as a primary liaison between productions and studio departments ensuring policy compliance timely communication and secure document flow.
Track show progress shooting schedules owed scenes and correct inconsistencies in production paperwork.
Oversee day-to-day updates from production teams during setup prep shooting and wrap.
Provide guidance and resources to productions including studio policies contact lists start memos and wrap guidelines.
Collaborate with departments such as Accounting Finance Legal Travel Clearance and IT as productions onboard and operate.
Set up and manage new productions within studio systems; maintain grids and trackers across hiring cast schedules clearance incentives and other key workflows.
Collect process and distribute production paperwork including call sheets production reports cast/crew lists NDAs and deal memos.
Maintain organized digital filing systems; oversee archival of production and departmental files.
Ensure materials are accurately distributed via approved platforms (Scenechronize PIX etc.).
Coordinate with clearance legal and security teams to ensure compliance across all phases of production.
Read scripts in development and provide breakdowns (sets cast locations stunts specialty items). Knowledge of Movie Magic Scheduling software a plus.
Support the EVP with research on filmmakers key crew locations incentives and international production considerations.
Liaise with international production service partners film commissions and government entities regarding visas permits or global production requirements.
Coordinate onboarding and content/IT security setup for global crews and vendors.
Engage with outside immigration counsel on assembling administering and managing application process for O-1 and O-2 Employment Visas for cast and crew
Qualifications:
2 years of experience in narrative long-form physical production (studio or production office).
Exceptional organization skills ability to manage high-volume workflows and comfort working against tight deadlines.
Excellent written and verbal communication; proven ability to maintain confidentiality.
Demonstrated ability to proactively identify needs problem-solve and pivot smoothly when plans evolve.
Preferred Qualifications:
Bachelors degree or equivalent experience.
Strong proficiency in Microsoft Office and MacOS/iOS environments; familiarity with Movie Magic Budgeting/Scheduling Scenechronize PIX and Concur.
Experience supporting senior studio leadership or high-level creatives.
Knowledge of global production practices and incentives.
Familiarity with clearance processes production legal materials and union (DGA/SAG/IATSE) documentation.
Thrives in fast-paced high-stakes environments; maintains calm humor and precision under pressure.
Demonstrates a self-starter attitude and a collaborative mindset.
Able to work independently anticipate issues before they arise and set appropriate priorities.
Comfortable working on a world clock and supporting productions with shifting or international schedules.

The anticipated base salary for this position is $32/hour to $40/hour. This role may also qualify for incentives and/or comprehensive benefits.
