Job Overview

Reporting to the Office Services Manager this role is responsible for iProcurement (processing invoices; setting up suppliers etc.) and act as a POC for the central finance training hub for T&E and Amex Company Pay.

This is a hybrid role that requires 2 days per week in our Mexico City office. There is no option to be fully remote.

Key Responsibilities:

iProcurement

  • Strategic alignment with GSP and Sourcing team and assist with specific procurement tasks including Sourcing Procurement and Supplier Onboarding Processes.

  • Manage the Acquisition Process with the objective of onboarding new

  • suppliers in iProcurement as well as training new colleagues on the invoice and payment process.

  • Develop and implement procurement strategies for internal and external users.

  • Support the purchasing function and communicate any supply problems which may impact on business operations.

  • Collaborating with internal stakeholders such as Finance EA Group Partners and Principals IT Global Sourcing and Procurement and other departments to ensure alignment with organizational goals.

  • Analyze procurement data generate reports and provide insights to support decision-making. This involve tracking KPIs monitoring supplier performance metrics and identifying areas for improvement.

  • Acts as a strategic partner for the business and ensure high professional standards.

  • Configuration training or other activities and follows through on resolution of those issues.

  • Captures lessons learned and best practices from each implementation and integrates them into future impact resolution/improvement roadmaps.

  • Process invoices through the iProcurement and Smart Source tools for multiple departments and project teams across the Americas.

  • Manages trackers and reports to provide accurate updates and follow-up to iProcurement users and stakeholders.

  • Develop strong working relationships with the Finance team to ensure timely payments to our suppliers.

  • Provide updates to the annual PO balance and check for payment status.

  • Act as accounts receivables contact for major suppliers requesting payment status.

  • Supplier set-up and maintenance for payments via the iProcurement system including the correct payment terms according to the contract.

  • Manage the OW iProcurement inbox and respond to user inquiries related to the operation of iProcurement and the processing of invoices for payment.

Training for iProcurement and Supplier Set-up Process

  • Facilitate monthly or semi-monthly training sessions on Oracle and Procurement tools for new hires to the firm OR Assist OS team with onboarding all new hires for iProcurement Supplier Setup and Payment Process including travel overview.

  • Facilitate clear communication between the end user and the help desk team acting as a liaison between them.

  • Follow up with end users to ensure that tickets are resolved satisfactorily or further escalate them as needed.

  • Update iProcurement and APEX system resource materials on Finance SharePoint and Degreed (ex: How to Guides).

  • Maintain a living repository of commonly asked questions and responses related to iProcurement.

Experience Required:

  • Bachelors degree in Finance or other related studies (Accounting Business or Management Accounting or Management Information Systems)

  • At least 4-6 years of experience in Finance/Accounting/ Procurement/ Purchasing

  • At least 4-6 years of experience in end-to-end Source to Pay processes.

  • At least 2-3 years of experience working with Oracle tools (Procurement and Purchasing).

  • Strong knowledge of finance processes.

  • Knowledge of Supplier On-boarding Processes.

  • Experience in Contracting and e-contracting (Strong understanding of purchase-to-pay processes relating to purchases from operational contracting to invoice management).

  • English fluency (written and spoken) required.
