POSITION CONTEXT
Reporting to the IT Communications Director the IT Change Management Advisor plays a key role in ensuring IT projects meet objectives by increasing employee adoption and usage. This person focuses on all aspects of the people side of change including changes to business processes systems and technology job roles and organizational structures. The primary responsibility is to develop and implement change management strategies and plans that facilitate the transition for individuals teams and organizations with the aim of driving user-adoption and minimizing resistance. The Change Management Advisor will work closely with the training and communications specialists assigned to the project and coordinate the appropriate execution of the overall Change Management/Communications/Training plan.
Using a structured change management approach the IT Change Management Advisor is also responsible for supporting the continuous improvement of the change management framework for IT projects and coaching IT project and business resources as they use this framework in their IT projects.
Primary Responsibilities:
- Provide senior expertise in the development implementation and evolution of a change management framework (tools templates and guidelines/standards) for IT Projects
- Oversee the implementation of change management initiatives within the context of medium and large-scale IT projects
- Conduct change management activities within IT projects utilizing a structured change management methodology to ensure a smooth change curve as the impacted stakeholders transition through the transformation brought on by IT projects
- Coach and support Project Managers project teams and key personnel at McGill (IT and Business) in using the change management framework and integrating change management activities into their project plans
- Attend senior level committees in order to coach senior leaders and executives in helping them fulfill the role of change sponsor
- Provide direct support and coach all levels of managers and supervisors as they help their direct reports through the transition
- Manage change management activities
- Develop and execute change management deliverables such as the Case for Change Change Management Plan and Strategy Stakeholder Map Audience Analysis Engagement Strategy Organizational & Job Impact Analysis Change Management Risk Assessment and Change & End-User Readiness Plan
- Collaborate with the IT Training & Communications team to develop training and communications strategies/plans:
- Support the design development delivery and management of communications
- Provide input document requirements and support the design and delivery of training programs
- Define and measure success metrics and monitor change progress within IT Projects
- Perform other duties as assigned.
EDUCATION & EXPERIENCE
Education: Undergraduate Degree
Experience: Five (5) years related experience
Desired:
- 5 to 7 years change management in an IT environment
- Experience with large-scale organizational change efforts
OTHER QUALIFYING SKILLS AND/OR ABILITIES
- Experience and knowledge of change management principles methodologies techniques and tools;
- Strategic as well as practical experience including definition of change management strategies as well as the execution of change management initiatives;
- Excellent active listening skills and the ability to clearly articulate messages to a variety of audiences
- Strong group facilitation skills with demonstrated experience turning working session notes into high-quality deliverables
- Ability to influence others and move toward a common vision or goal;
- Flexibility and adaptability; Ability to adapt to shifting priorities demands and timelines
- Ability to work effectively at all levels in an organization with multiple stakeholders; ability to foster a cooperative team environment;
- Strong people skills including patience and diplomacy. Ability to work independently and collaboratively with and through others; strong team player;
- Strong planning skills; ability to meet deadlines;
- Strong problem-solving skills and oriented towards identification of root cause
- Familiarity with project management approaches tools and phases of the project lifecycle;
- Change management certification or designation desired (PROSCI is an asset).
- Experience working in higher education is an asset
