To support this continued growth the organization is seeking a high-caliber Office Administrator to join the team in Dar es Salaam.
Overview of the Position
The Office Administrator will ensure smooth daily operations of the office while providing high-level administrative support to the firm. This role requires strong organizational skills attention to detail and the ability to manage multiple operational and administrative responsibilities efficiently.
Key Responsibilities
- Travel Events & Hospitality
- Provide administrative support to the firms executives including managing calendars and diaries.
- Schedule and prepare for meetings conferences workshops and events (venue booking printing materials logistics).
- Prepare travel itineraries book transportation and handle related expense reports.
- Welcome office visitors and ensure meeting rooms are prepared and equipped.
- Office Operations Management
- Manage day-to-day office operations including supervision of stewards and ensuring the office is organized and functional.
- Ensure timely payment of all utilities and services.
- Monitor and replenish office consumables (kitchen supplies water stationery etc.).
- Liaise with landlords for office and apartment spaces on repairs maintenance and lease matters.
- Security & Access Control
- Work closely with the Security Company managing the office premises and apartments.
- Oversee biometric access control and panic button systems including user management and maintenance follow-ups.
- Vendor & Project Management
- Coordinate all office-related projects and renovations.
- Inspect completed work by vendors and suppliers to ensure standards are met.
- Manage vendor relationships and ensure timely delivery of services.
- Compliance Reception & Communication
- Manage office compliance certificates and ensure they are up to date and displayed at the reception.
- Maintain organized filing of administrative documents contracts invoices and office records.
- Answer calls manage the reception area and support general office communication.
- Serve as a coordination point for internal teams and external stakeholders.
Requirements
- Diploma or Bachelors degree in Business Administration Office Management or a related field.
- 2 - 5 years of experience in office administration executive support or operations management.
- Strong organizational and multitasking abilities with high attention to detail.
- Proficiency in MS Office Suite (Word Excel PowerPoint) and basic IT troubleshooting.
- Strong communication and interpersonal skills with a professional customer-service approach.
- Experience coordinating vendors facilities and office services.
- Ability to handle confidential information with discretion and work independently with minimal supervision.
- Strong problem-solving skills and a proactive dependable attitude.
