Administrative Assistant
Overview:
We are seeking a highly organized detail-oriented Administrative Assistant to provide comprehensive support to the C-suite and senior management. This role is critical for ensuring smooth office operations managing sensitive information and coordinating a wide range of administrative tasks. The ideal candidate will demonstrate professionalism discretion and the ability to handle multiple priorities in a fast-paced environment.
Knowledge Skills and Abilities:
- Advanced proficiency in Microsoft Office Suite (Excel Word Outlook PowerPoint) with strong calendar management capabilities.
- Exceptional verbal and written communication skills paired with superior organizational and time management abilities including the capacity to prioritize and manage competing demands effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving skills and keen attention to detail.
- Must possess a valid drivers license and have a reliable vehicle for occasional errands.
Essential Functions and Duties:
- Serve as the primary point of contact for executives and internal/external stakeholders.
- Manage incoming calls emails correspondence and in-person inquiries; screen and prioritize.
- Maintain calendars schedule meetings reserve rooms and coordinate travel arrangements.
- Draft proofread and edit letters memos agendas meeting materials minutes and other documents as needed.
- Assist with purchasing prepare and submit business expense reports and credit card reconciliations.
- Maintain contracts database (leases lab agreements physician contracts NDAs etc.).
- Track expenses monitor and order supplies and schedule maintenance repairs.
- Ensure completion and reporting of assigned tasks in a clear and timely manner.
- Preferred: Notary Public certification (not required).
- Other duties as assigned.
Education and Experience:
- College degree preferred but not required.
- Minimum 5 years of administrative support experience required.
Schedule:
- Business hours (MondayFriday).
Pay Rate:
- Based on experience and education.
