About the Role:
Compass Lexecon offers an excellent opportunity for an Executive Office Assistant with exceptional all-round skills. We are seeking a highly organised professional with the ability to juggle and prioritise the demands of the team. The candidate should be fluent in English and French adopting a proactive and positive approach. Dedication to work and attention to details is important.
This role is suited to someone who enjoys a full varied and sometimes deadline driven day within a highly professional and collaborative environment. This role will work as part of the wider EMEA operations and administration teams at Compass Lexecon and with the teams within our parent company FTI Consulting.

Key Responsibilities

    • Diary management and ocasional email management for the Head of the Energy team organisation of travel process expenses and enter time entries on different projects .
    • Coordination of internal and external meetings including welcoming of guests and clients coming to office.
    • Occasional support to the recruitment team when required.
    • Administrative support with the onboarding process of new joiners in the team.
    • Support with vendor invoices ensuring prompt submission and payment.
    • Support our billing monthly process for the energy team: Provide case budget updates open new case matters and help with client invoices.
    • Maintaining clients contacts database via a CRM database Salesforce.
    • Help the Energy team with responses to tenders regarding administrative documents.
    • Liaising with internal support teams (HR marketing IT) as needed.
    • Covering holidays and coordinating with the other admin members in the Paris office.
    • A range of ad hoc administrative tasks e.g. post printing and binding and archiving as required.

    • This is a non-exhaustive list of duties and the job holder will be required to be flexible.

Qualifications and Experience

    • This is a Senior Role which requires a minimum of 5 years experience in a similar position.
    • Experience with client interactions and understanding of client relationships.
    • Experience working in an international & multicultural environment.
    • PA/Secretarial qualifications.

    • Ability to prioritise workload and deal with multiple parties and requests
    • Proactive and a strong team player.
    • Advanced proficiency in Microsoft Office suite (Excel Work Outlook PowerPoint)
    • Willingness to learn.
    • Ability to work under time pressure.
    • Strong attention to detail with excellent organisational skills.
    • Strong interpersonal skills required to maintain collaborative working environment.
    • Ability to communicate with tact and diplomacy both verbally and in writing with all levels of the organisation.
    • Ability to handle confidential issues with utmost sensitivity.
    • High level of discretion and integrity.
    • Full professional fluency in English and French other European languages are of benefit.
