Tech Bar Office Technology Specialist
The Technology Office Operations team are seeking a Tech Bar Office Technology Specialist.
Position Summary: Cooley Information Services (IS) embraces a culture of customer service excellence and all members of the department are expected to move this agenda forward. To that end the Office Technology Specialist is expected to recognize that the Cooley IS department is a service organization first and foremost and will be evaluated on this requirement equal in importance to the technical and operational responsibilities outlined later in this document.
Under direct supervision ensures that office computers printers scanners telephones and other computer or telephone related devices are productively deployed and service desk personnel and local Senior Office Technology & Network Operations Manager UK and Europe with troubleshooting and operational maintenance of desktop systems. Performs various technical duties which include but are not limited to the following:
Position Responsibilities:
- Use of ticketing system to track all customer reports of hardware software telephone mobile device and peripheral issues.
- Host the Tech Bar and provide support for walk-up queries.
- Provide on-site technical assistance including computer setup and breakdown office moves troubleshooting of printer scanner mobile devices and other technology equipment support as needed.
- Prepare equipment and operate quality assurance with regards to equipment preparation following defined processes e.g. for new starters including those starting in groups as part of annual Legal Talent initiatives.
- Install and configure replacement desktop laptop and associated equipment in accordance with firm defined installation processes or guidelines.
- Install troubleshoot and maintain PC peripheral equipment such as printers scanners and Cooley-issued mobile devices (iPhones iPads).
- Troubleshoot and coordinate repairs of hardware and software with vendors.
- Troubleshoot and resolve wireless or wired connectivity issues for internal and external customers.
- Isolate customer problems with hardware and/or software and escalate to colleagues as necessary.
- Assist HR and Facilities with ergonomic equipment setups following DSE workstation assessments.
- Actively participate in pilot groups and perform quality assurance of computer system builds program deployment and updates and provide relevant factual accurate feedback.
- Operate procurement process including engagement with suppliers creating purchase orders coordinating and communicating re: equipment delivery and invoicing.
- Enter data into and manage & maintain asset/inventory databases including in-office stock to track information pertaining to hardware.
- Operate disposal process for equipment being decommissioned including but not limited to asset database updates device data clearance and liaising with external firms regarding recycling and/or disposals.
- Track Change Forms relating to new hires departures support and name changes.
- Set-up and regular maintenance of conference room audio visual equipment including liaising with the 3rd party Audio Visual support supplier.
- Meeting set-up and support for conferencing systems.
- Provide set-up and technical support for off-site/remote client meetings trials or conferences.
- Familiar with software applications used at Cooley and prepares documents statistical charts graphs and spreadsheets and can analyse and report on data to a good level of quality and in a timely manner as needed.
- All other duties as assigned or required.
Skills & Experience:
Required:
- Minimum of three years applicable and relevant technical experience.
- Educated to A level or equivalent.
- Candidates must have Proficient knowledge of Windows operating systems to include but not limited to Windows 11 and must have solid working knowledge of MS-Office suite ranging from 2016 and higher.
- Availability to work overtime and in alternative offices as required.
- Minimum one year experience in data management.
Preferred:
- Basic networking architecture knowledge to include but not limited to TCP/IP DHCP and DNS.
- Prior experience working in a law firm or professional services industry.

- Exceptional customer service skills with a professional client-service orientation and demeanour.
- Must have exceptional attention to detail and accuracy in all aspects of the role including written and oral communications and presentation skills data entry equipment ordering & disposal and stock management.
- Must have good analytic skills and effective presentation skills to enable effective customer support and collaboration with the Technology teams and department.
- Ability to work well with others including technicians to maintain efficient systems operations.
- Ability to complete work in a timely manner with excellent attention to detail and follow-through.
- Must work well under pressure across multiple tasks with changing priorities and tight deadlines.
