GROUP EXERCISE AND PILATES DIRECTOR

Reports to: Club Manager

POSITION: Regular Part time (30-35 hours) non-exempt position with benefits. As the Group Exercise and Pilates Director administration hours and Manager on Duty hours should be no more than 25 hours per order to meet the 30 hour per week minimum to qualify for benefits the employee must make up the remaining hours by teaching classes or trainings. This must be done on a consistent basis to maintain benefit status. JOB SUMMARY: As a member of the Santa Rosa management team the Director is primarily responsible for the staffing maintenance and administering of the Group Exercise and Pilates departments including the oversight of the regular schedule of classes special fee classes programs special events and activities within the budgetary guidelines of the Parkpoint Santa Rosa Group Exercise and Pilates programs.

The Director is to act as a liaison between staff management and members; have a visible presence at the club and be accessible to receive and respond to member feedback in a timely fashion. Must be flexible to work weekends and evenings as necessary to properly oversee the department. Role model professionalism; approach all issues in a pro-active manner and uphold all club policies for members and employees. The Director may also serve as Manager on Duty during assigned shifts supporting the Club Manager in planning and executing club this role the Director oversees general club operations including customer service facility presentation maintenance personnel issues and member inquiries or concerns. They act as the primary point of contact for resolving facility equipment membership and staffing issues serving as a liaison between members and management to foster a positive solutions-oriented environment. As Manager on Duty the Director is expected to model professionalism through clear respectful communication and effective problem-solving.

PROGRAMMING AND MEMBER OUTREACH: PILATES & GROUP EXERCISE

Studio & Program Operations

Maintain a regular visible presence in the Pilates Studio completing administrative duties attending to member needs and ensuring cleanliness and smooth operation of the studio and equipment.

Oversee all operations of the Pilates and Group Exercise departments including staff promotion scheduling client policies and procedures and development of balanced diverse and innovative class schedules within budget guidelines.

Analyze participation attendance and training data; collaborate with the Club Manager to create engaging comprehensive and financially sound programming across both Pilates and Group Exercise.

Program Development & Innovation

Develop promote and maintain Pilates and Group Exercise staff demos fee-based and free programs special events and Open Studio opportunities.

Develop strategies for continuously improving and updating both Pilates and Group Exercise programming to address all fitness levels member interests and the financial needs of the club.

Work collaboratively with the Club Manager and staff to maintain cutting-edge retention programs that drive engagement and member satisfaction.

Member Outreach & Engagement

Conduct needs assessments with new members to recommend and sell Pilates packages and connect them with appropriate trainers.

Promote strong member relations through one-on-one interactions retention initiatives theme classes team-taught sessions special guests and responsive communication.

Respond to member suggestions and complaints in a personal proactive manner to exceed expectations.

Attend to new member outreach using means such as Pop-up classes Pilates demos phone email social media or other sources.

Instruction & Staff Support

Personally instruct a regular schedule of classes at the Santa Rosa site and train your own Pilates clients within the work week.

Support staff through promotion communication and the development of high-quality engaging programming.

Marketing & Communications Duties

  • Promote Group Exercise and Pilates classes programs and events through eblasts website updates flyers posters instructor announcements social media and other sources.
  • Prepare written content for online member communications including staff spotlights informational articles and trainer bio updates.
  • Maintain timely relevant and engaging social media content to increase visibility and audience engagement.
  • Update class descriptions instructor listings and schedules (paper online website digital signage and mobile app) promptly and accurately.
  • Post substitute instructor/trainer updates quickly on all platforms to ensure schedule accuracy.
  • Request and provide information needed for promotional materials such as flyers posters and internal communications.
  • Use social media strategically to highlight Pilates instructors classes and programming.

EQUIPMENT AND STUDIO MAINTENANCE: PILATES & GROUP EXERCISE

Oversee all equipment cleaning maintenance and repairs for both the Group Exercise studios and the Pilates Studio ensuring timely completion and adherence to budgetary guidelines.
Maintain the cleanliness safety and professional presentation of all studios and equipment areas.
Establish and systemize communication processes with staff to ensure prompt reporting of equipment issues and repair needs.
Collaborate with trainers and the Club Manager to evaluate needs and purchase approved equipment and supplies for both Pilates and Group Exercise.

PERSONNEL RESPONSIBILITIES

  • Lead motivate and support a qualified certified team of Group Exercise Instructors Pilates Trainers and substitute staff fostering a collaborative and non-competitive environment.
  • Ensure complete coverage of all Group Exercise and Pilates classes; enforce the Class Coverage Policy and assist with securing substitutes when necessary including all Paid Sick Leave requests. Includes acting as a substitute when necessary.
  • Supervise all instructors and trainers including hiring scheduling oversight and coordination of substitute coverage; Manage staff returning from injury absences by requiring a medical release and acknowledging any modifications of duties if applicable.
  • Recruit interview and select qualified candidates for regular and substitute positions; verify current discipline-specific certifications and CPR/AED credentials.
  • Recommend starting wage rates or Tier levels using established Rate Guidelines / Pilates Tier Guidelines and confirm wage or Tier approval with the Club Manager and HR before extending offers.
  • Refer all new hires to Human Resources to complete onboarding and hiring procedures.
  • Oversee and review bi-monthly payroll for both departments; approve and acknowledge time-off requests through Paycom.
  • Observe or participate in classes periodically to evaluate class effectiveness and provide constructive feedback to instructors and trainers.
  • Consult with the Club Manager and HR regarding any required disciplinary actions.
  • Conduct written performance evaluations in accordance with the review schedule; set performance goals recognize strengths and make wage adjustment recommendations to the Club Manager.
  • Work collaboratively and positively with Group Exercise and Pilates staff to support a high-functioning motivated team environment.
  • Maintain ongoing clear communication with staff to keep the team informed engaged motivated and educated.

BUDGET

  • Collaborate with the Club Manager on equipment purchases and capital improvements; order approved supplies and equipment and submit documentation to Accounting as required.
  • Maintain budgetary guidelines when scheduling staff classes and submitting requested compensation adjustments.

GROWTH AND DEVELOPMENT

  • Attend conventions workshops and local trainings to support program development and share relevant information with staff.
  • Coordinate in-house trainings continuing education opportunities and special guest presentations as needed.
  • Provide instructors with relevant professional resources articles and industry updates.
  • Encourage instructor participation in continuing education and review Employee Education Requests before submitting them to the Club Manager for approval.
  • Network with area clubs and industry leaders to ensure Parkpoint remains current and competitive within the fitness industry.

Qualifications

QUALIFICATIONS

  • Currently holds an approved and active Pilates Reformer Certification or have a completed certification within the first 12 months of employment of this position.
  • Currently holds a current National Certification in group exercise and have at least 3 years in the group exercise field or have a completed certification within the first 12 months of employment in this position.
  • Possess a positive outgoing motivating personality and the ability to lead by example.
  • Have experience or demonstrate skills in employee relations team development and customer service.
  • Demonstrate very good written and verbal communications skills evaluation and problem-solving skills organizational and follow-through abilities and a promotional aptitude.
  • Strong digital literacy and the ability to adapt and learn new systems software and emerging industry technologies.
  • Possess strong computer skills to manage the schedule and department needs.
  • Hold and maintain a current CPR/AED certification as well as a certification in Supervisors Sexual Harassment Prevention.
  • Demonstrate the physical ability to perform all class exercises with proper form and alignment and possess the expertise to evaluate instructors and trainers on body mechanics cueing and overall class or training structure.
  • Able to sit and perform computer and telephone work for 2 or more hours at a time; be on your feet for 1 or more hours; walking and circulating all areas of the Club; climbing stairs as needed. Speaking English clearly both in person and on the phone as well as listening are required throughout the day.
