Your Role and Responsibilities
The Vendor and Contract manager role is a critical position in the CIO office management team and is key to ensuring that all contracts for Japan IT are processed in a timely manner. Ensures that contracts obtain the necessary approvals to support IT BAU and to enable IT delivery teams with critical 3rd party services/products needed for project execution and to control that the expense for these is within the approved budgets.
This position is supported by 2 contractors who manage contract processing and report to the Vendor and Contract manager.
Contract reviews and communication with IT Vendors BAU teams Solution Delivery and Global stakeholders
Contract coordination with procurement Vendor Management Office Legal Teams and Vendors.
Contract reviews of services periods executive summaries detailed description terms & condition.
Finance Admin Improvement for IT & comm
Monitor Ariba system approvals to be on time prior contract services start dates
Confirm the Professional fees and Licensing Budget prior approvals
Support the Annual Vendor Inspection working closely with the Vendor Management Office.
Coordinate the weekly CIO approval meeting where all IT spend Items get formally approved
Maintain up to date spend forecasts from major vendors
Support any Labor Law related matters
Experience and Qualifications
Good understanding of contract management lifecycle and related Finance terms and concepts.
Basic knowledge of IT services
Strong communication skills both in written and verbal
Self-starter and self-driven
Active listener-learner and Growth Mindset
Ability to work across different teams
Ability to handle multiple tasks prioritize tasks and meet delivery deadlines
Adaptability and flexibility in new environments
Business level of Japanese and English skills (TOEIC 800)
3 years in a similar role with a proven success record.
General Insurance industry experience is preferable
