Position Summary
The Administrative Assistant supports management by performing a range of administrative transactional and customer service tasks essential to daily operations. Responsibilities include answering and directing office calls managing office voicemail and coordinating the collection processing and storage of office documentation such as internal communications client records and financial transactions. Additional duties may include handling mailings meeting notes filing and organizing office spaces. This position reports to the Deputy Executive Director.
Compensation
$25.00-$27.00 per hour
Essential Functions
- Filing and document archiving
- Answering office main phone line
- Registering clients for services over the phone
- Taking client payments in-person and over the phone.
- Preparing and sending mailings
- Preparing expenditure forms for accounting
- Assisting with past-due invoices
- Processing vouchers for reimbursement.
- Reviewing Salesforce records for accuracy
- Scanning and storing documents
- Performing other duties as assigned
Qualifications :
- Understanding of disability personal care services substance abuse trauma and sensitive issues
- Minimum 6 months of experience in administration reception guest services or customer service
- Ability to remain calm and respond appropriately to urgent or crisis situations
- Professional flexible and detail-oriented with strong problem-solving skills
- Excellent interpersonal skills; able to work independently and collaboratively
- Ability to manage multiple priorities and meet deadlines
- Strong verbal written and listening skills
- Proficiency with Microsoft 365
- Commitment to maintaining professional boundaries and delivering exceptional customer service
- Ability to work effectively in diverse environments and build positive relationships
