Facilities Coordinator - Workspace Operations JLL

What this job involves: As a Facilities Coordinator - Workspace Operations at JLL you will work with internal departments such as IT Security and R&D to ensure systems and services are operational while managing tickets within JLL and Client CMMS systems to meet defined Service Level Agreements (SLAs). This role requires you to setup surge spaces according to client office coordinator requests coordinate special events and perform light maintenance work while collaborating with JLL sourcing team on national and regional sourcing opportunities. Youll proactively develop and maintain client relationships while ensuring client satisfaction with facility management service delivery that reflects JLLs commitment to operational excellence and customer satisfaction.

What your day-to-day will look like:

System and Service Operations:

Work with internal departments (IT Security R&D) to ensure systems and services remain operational

Manage tickets within JLL and Client CMMS systems while ensuring completion within defined SLAs

Convert requests outside CMMS systems (phone calls texts emails) into trackable tickets for resolution

Setup surge spaces according to client office coordinator requests including desk setup signage and space preparation

Coordinate special events in support of client or JLL while performing light maintenance including hanging pictures whiteboards and ceiling tiles

Backup pickup drop-off and preparation of postage/labels for mail/UPS/FedEx and courier services

JLL Vendors and Suppliers:

Collaborate with JLL sourcing team on national and regional sourcing opportunities to define scope and coordinate supplier walk-throughs

Assist with management and support of existing contracts for facilities within geographical areas

Coordinate discussions with selected vendors regarding goal setting performance criteria and performance reviews

Manage national and regional supplier performance at property level

Properties and Projects:

Resolve problems associated with building services including conference rooms workstations and interior/exterior furnishings

Assist with coordination and scheduling of maintenance activities to ensure SLA completion

Establish strong relationships with property management and landlords while coordinating service visits

Conduct detailed building inspections to discover issues and assign tickets accordingly

Ensure facilities follow applicable building health safety and fire codes and regulations

Create and implement site operational rules and standard operating procedures

Complete short and long-term projects for clients while staying within prescribed budgets

Find and implement cost-saving ideas monthly

Account Performance:

Proactively develop and maintain client relationships while ensuring satisfaction with facility management services

Complete all reports at scheduled intervals (weekly monthly quarterly)

Accomplish key performance indicators as identified by management

Support requests associated with JLL management operations and financial audits

Assist management and JLL team with operational reporting budgeting financial audits and purchasing

Required Qualifications:

High school diploma or equivalent required (college preferred)

2 years of experience in facilities/property management or related field

Knowledge of facilities maintenance work with ability to discuss projects with JLL team maintenance team and vendors

Excellent interpersonal communication organizational and management skills

Ability to quickly provide executive summaries of problems and solutions to JLL and client management

Computer proficiency with MS Office and Computerized Maintenance Management Systems (CMMS)

Experience working within budget and time constraints

Understanding of commercial leases and contract documents

Ability to multitask and work without direct supervision

Strong attention to detail with conscious effort to understand causes instead of effects

Capacity to deal with ambiguity and solve complex problems effectively in fast-paced environment

Preferred Qualifications:

Industry experience in corporate environment third-party service provider or consulting capacity

Background in sourcing and supplier management

Experience with property management and landlord relationship coordination

Knowledge of building codes health safety and fire regulations

Understanding of operational reporting and budgeting processes

Estimated compensation for this position:

49500..00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications location market conditions and internal considerations.
