Role: Executive Assistant for Strategy & OKR Operations
Reports to: Chief Operating Officer (COO)
Location: Anywhere (Must be available for daily meetings between 7am10am Sydney time)
Start Date: Immediate
We are seeking a highly organised AI-savvy and results-driven Executive Assistant to support the COO across strategic operations leadership alignment OKR governance marketing support and day-to-day executive communication.
This is not a traditional admin EA role. You will be a force multiplier who ensures the COO leadership team and marketing engine operate with clarity alignment and momentum. You will coordinate OKRs across departments manage communication flows run the COOs inbox and schedule support sprint processes and assist with content creation using Canva and AI tools.
This is a high-trust high-ownership role for someone who thrives in fast-moving digital environments and wants to play a key role in a rapidly scaling organisation.
Key Responsibilities:
A. Executive Support
Manage the COOs inbox triage draft responses organise follow up
Maintain <20 unread emails daily through proactive communication management
Draft professional email replies in the COOs tone (concise leadership-level)
Manage calendar bookings meetings travel and documentation
Prepare briefing notes meeting agendas pre-reads and summaries
Follow up on commitments to ensure nothing slips
Coordinate between COO and leadership team to streamline decision-making
B. Objectives and Key Results (OKR) Governance & Leadership Alignment (4050% focus)
Own the OKR process across all departments
Maintain the OKR master tracker and weekly progress dashboard
Coordinate with departmental leaders to update progress and track KPIs
Run weekly OKR syncs; document decisions risks and next actions
Escalate risks and missed deadlines to the COO
Assist in quarterly OKR planning and strategic offsites
Maintain a single source of truth for company goals plans and metrics
You will act as the OKR enforcer respected firm and structured.
C. Scrum & Delivery Rhythm Support for OKR
Assist with sprint planning and reporting for OKRs across teams
Track cross-team dependencies and escalate issues promptly
Prepare weekly sprint reports and execution summaries for the COO
Ensure delivery teams maintain structure clarity and accountability
Bonus: interpret product backlogs user stories and workflows for OKRs
D. Marketing Operations & Content Support
Create social media assets using Canva
Repurpose existing videos into short clips quotes and posts
Draft captions using AI tools (ChatGPT Claude etc.)
Maintain and update the marketing calendar
Prepare weekly content packs for COO review
Coordinate with the Marketing Manager for scheduling posting and tracking
Assist with preparing case studies decks landing pages and scripts
E. AI-Enabled Productivity
Use AI tools to automate tasks summarise meetings and generate drafts
Build templates checklists and workflows to streamline operations
Assist the COO in creating presentations documents and briefs using AI
Maintain knowledge of best-practice AI usage across EA and marketing workflows
Requirements
Technical & Professional Skills
4 years as an EA Operations Coordinator Project Coordinator or similar
Strong understanding of OKRs KPIs and strategic reporting
Experience with agile/scrum frameworks
Proficiency with digital tools: Canva ChatGPT/Claude Google Workspace
Familiarity with Jira Notion ClickUp (good to have)
HubSpot experience (must have)
Strong written English; able to draft professional emails autonomously
Experience creating marketing content using templates or brand guidelines
Bonus: experience in tech SaaS digital product or mobile app environments
