Summary:

The Records Specialist is responsible for the upkeep and/or update of Sacramental Records and Parish Census recording new parishioner registrations and deactivate those families who leave the parish including those that are deceased.


Position Responsibilities:

1. Retrieves records with incomplete information to update and complete the records in the database.


2. Assists in pre-checking new incoming baptism confirmation first Communion and marriage records submitted by priests and deacons for accuracy as well as complete information.


3. Processes written requests for sacramental certificates received by email or fax to include:
a. Retrieval of record(s) from archives for Records Requests from individuals that are incomplete.
b. Taking completed certificates to the clergy for their signature.
c. Preparing signed certificates.
d. Preparing a No Record letter if a sacramental record is not found.

4. Answering incoming calls for Sacramental Records as well as retrieving voice mail messages.


5. Assists other staff members as requested by Pastor or Parish Operations Director.


6. Follow all guidelines and policies set forth by the Archdiocese of San Antonio regarding Sacramental Records.


7. Enter all updates for parishioners new or those who have left including those that are deceased.


8. Other duties as assigned.


Requirements

Minimum Qualifications:

Education:

  • High school Diploma or equivalent
  • Associates degree preferred

Experience:

  • At least four (4) years experience of working in an administrative role providing direct support
  • Bilingual in Spanish and English

Minimum Knowledge and Skills:

  • Experience with Shelby computer software and Microsoft Office Applications;
  • Must be detail oriented organized self-motivated work well independently and on a team;
  • Must have good written and verbal skills;
  • Must have good critical thinking and problem solving skills.
  • Practicing Catholic in good standing.
