Job Description
Our client is hiring a highly organized proactive Executive Assistant based in Cape Town to support a founder across multiple venturesfrom building an investment arm and managing cross-border finances to coordinating personal and family office activities. This is a part-time remote role (20 hours/week to start) with the potential to grow into a full-time long-term partnership. Youll be the operational backbone behind business strategy research coordination and personal logisticskeeping everything flowing smoothly across time zones teams and priorities.
Responsibilities:
- Building investment Arm: Making sure operations across holding run smoothly and supporting our Research Team with scheduling follow ups and pipeline.
- Financial Management: Keep Portfolio companies accounting running across Germany and SA by collecting receipts being Point of Contact for Accountants.
- Family Office Activities: Property portfolio administration travel coordination coordination of Events reminders about birthdays Calendar Management and flow
Business & Advisory Support
- CRM & Lead Management: Keep CRM updated track follow-ups and maintain client records.
- Meeting Coordination: Schedule calls prepare agendas and follow up with action points.
- Research & Summarization: Conduct market research compile reports and summarize insights.
- Email & Calendar Management: Prioritize emails organize scheduling and manage daily workflow.
- Event & Travel Planning: Book flights hotels and coordinate conference schedules.
Family Office & Personal Operations Support
- Receipts Collection & Expense Management: Organize receipts track invoices and manage expense logs.
- Property & Asset Management: Liaise with service providers manage property-related admin and track key deadlines.
- Travel Coordination: Organize personal and business travel logistics.
- Supplier & Legal Coordination: Interface with tax advisors lawyers and other key service providers.
- Gift & Event Planning: Research and source unique gifts and organize personal events.
Requirements:
- Experience: 5 years in executive roles working with founders startups or high-level executives
- Based in Cape Town South Africa
- Tech-Savvy: Comfortable with tools like Google Workspace Slack Notion Trello/Asana and CRM platforms.
- Excellent English Skills: Strong written and verbal communication skills (German would be a plus). Strong business acumen and used to dealing with important stakeholders
- Proactive & Detail-Oriented: Anticipates needs takes initiative and works efficiently.
- Time Zone Flexibility: Availability for some overlap with CET & South African time zones.
