Position Summary
The Sr. Receptionist & Switchboard / Administrative Support professional provides a combination of front-desk reception services and mailroom assistance. This hybrid role supports visitors employees and internal teams by handling incoming calls providing administrative support and assisting with light mailroom tasks. The role requires strong communication skills multitasking ability attention to detail and a customer-focused approach.
Key Responsibilities
Reception & Switchboard Support

Answer transfer and route incoming calls from across the United States.

Greet visitors applicants and employees in a professional manner.

Assist applicants with completing applications.

Distribute visitor name badges and temporary employee badges.
-
Issue facility access cards to staff and visitors.
-
Schedule meeting rooms and maintain conference room calendars.
-
Maintain accuracy of company phone lists and speed dial directories.
-
Serve as a positive representative of company Vision Values and Mission.
Administrative Support

Perform light administrative tasks such as preparing envelope labels assembling manuals or supporting special projects.

Provide PC support and basic troubleshooting assistance as needed.

Manage the issuing tracking and return of company loaner cell phones.
-
Assist administrative teams or other departments with various tasks as required.

Build and maintain professional relationships with customers visitors and internal employees.
Mailroom Support
-
Support mailroom functions alongside other Ricoh team members.
-
Perform minimal lifting or handling of mail-related materials.
-
Ensure accurate distribution and processing of mail and packages.
Other Duties
-
Participate in company or community service events.

Maintain awareness of various work areas and provide backup support when needed.

Perform additional tasks as assigned by management.
