As an Executive Assistant in the General Industries team you provide dedicated onsite support to senior leaders and their teams in Melbourne. You play a key role in enabling our client service by managing priorities coordinating logistics and fostering collaboration. You work closely with colleagues across Australia and globally helping us deliver outstanding results in a dynamic environment.
Job Responsibilities
- Manage complex calendars and coordinate meetings across multiple time zones
- Build and maintain effective relationships with internal and external stakeholders
- Screen incoming calls assess priority and exercise discretion when sharing information
- Organize and coordinate domestic and international travel in line with company policies
- Process invoices and expense claims for the team ensuring compliance with guidelines
- Draft high-quality emails and communications
- Handle routine tasks independently and proactively communicate any issues or delays
- Collaborate with fellow Executive Assistants to provide mutual support
- Lead and coordinate ad hoc projects as required
- Manage printing binding and office supply orders
- Support broader team initiatives for the Investment Banking Australia franchise
Required Qualifications Capabilities and Skills
- Minimum 3 years experience as an Executive Assistant supporting senior leaders
- Advanced organizational skills and attention to detail
- Demonstrated sound judgement and discretion in confidential matters
- Strong interpersonal written and verbal communication abilities
- Proficiency in Microsoft Office suite (Word Excel PowerPoint Outlook)
- Excellent telephone etiquette and ability to manage competing priorities
- Proven experience managing complex calendars and travel arrangements
- Business or Secretarial College diploma or equivalent qualification
- Ability to work onsite in Melbourne office
Preferred Qualifications Capabilities and Skills
- Experience supporting teams in investment banking or financial services
- Familiarity with expense management systems and invoice processing
- Experience coordinating logistics across multiple locations
- Ability to work effectively with remote teams
- Experience leading or supporting ad hoc projects
- Advanced proficiency in Microsoft Office applications
- Demonstrated adaptability in a fast-paced dynamic environment
