Position Summary

The Front Desk Administrator ensures the smooth functioning of the office operations and provides essential administrative support. This role is responsible for managing various office activities coordinating projects and maintaining effective communication channels within the company. As the first point of contact for our organization this role is crucial in creating a positive and welcoming environment for visitors clients and employees.

Key Responsibilities

  • Oversee daily office operations and ensure efficient functioning of administrative processes.
  • Greet and welcome visitors clients and employees with a friendly and professional demeanor.
  • Answer and route incoming calls taking messages and delivering them promptly to the appropriate personnel.
  • Assist with general administrative tasks including photocopying faxing scanning and filing documents.
  • Manage incoming and outgoing mail and packages distributing them to the appropriate recipients.
  • Develop and implement office policies and procedures to optimize productivity and maintain a safe and organized work environment.
  • Manage office supplies equipment and inventory ensuring adequate stock levels are maintained.
  • Assist in the preparation of reports presentations and other documentation as required.
  • Maintain and update company databases records and filing systems in both physical and digital formats.
  • Serve as a primary point of contact for internal and external inquiries providing excellent customer service.
  • Foster positive working relationships with team members clients and vendors promoting a collaborative and supportive work environment.
  • Facilitate effective communication channels within the company ensuring information flow between different departments.
  • Perform additional assignments and special projects as directed.

Basic Qualifications

  • Minimum two plus years of experience in an administrative capacity.
  • High school diploma/GED or equivalent.
  • Valid Drivers License and ability to drive on behalf of company business.
  • Excellent computer skills including knowledge and experience with Microsoft Office Outlook and Excel.
  • Strong organizational problem-solving and analytical skills; able to manage priorities and workflow.
  • Versatility flexibility and a willingness to work within constantly changing priorities with enthusiasm.
  • Above average oral and written communication skills along with use of independent judgement and creativity applied to resolution of issues.
  • Highly proactive and responsive to internal and external customers
  • Good problem-solving skills/decision-making skills.
  • Strong attention to detail.
  • Commitment to excellence and high standards.
  • Ability to work with all levels of management.
  • Good reasoning ability and decision-making is important.
  • Able to understand and utilize management reports memos and other documents to conduct business.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Ability to adapt to a dynamic work environment and handle multiple responsibilities simultaneously.
  • Company will provide additional training as necessary.

Physical Demands & Work Environment

This office-based role requires frequent computer use and effective communication with occasional travel to project sites as needed. Site visits may involve extended periods of standing or walking and required PPE with potential exposure to heavy equipment chemicals dust fumes uneven terrain and extreme weather.
