Position : Payroll Specialist

Working Schedule : 9a-6p EST

Salary Range :$1000-$1500 USD Monthly (the final salary will be determined by the candidates level of experience and at the discretion of the client)

As we continue to grow we are expanding our finance and operations support team overseas to ensure our internal systems remain efficient compliant and well-coordinated.

Role Overview

We are seeking a detail-oriented and proactive Payroll Specialist to support our U.S. finance

team with the bi-weekly payroll process. This role will focus on data accuracy compliance and coordination across multiple locations and teams ensuring all payroll activities align with U.S. labor laws and company policies. The Payroll Specialist will work closely with the Finance Department Shop Managers (SMs) and Studio Area Managers (SAMs) to ensure all payroll-related documentation is accurate approved and delivered on time.

Key Responsibilities

Payroll Preparation & Processing

  • Collect and organize timesheets production reports and attendance data from all the company studios.
  • Verify all data for accuracy completeness and signatures before submission.
  • Prepare payroll summaries and input data into internal templates or payroll software
  • Accurately credit tailors with additional hours or compensation for extra activities such as fittings management meetings quality control work or other approved tasks. Verify supporting information from the field before to ensure 100% accuracy
  • Follow established checklists and cut-off timelines to ensure timely payroll processing.

Data Verification & Reconciliation

  • Cross-check timesheets production and commission reports to ensure all hours and compensation are correctly captured.
  • Audit production data each cycle to confirm there are no duplicate scans or double entries particularly for commission-based tailors and ensure accuracy from cycle to cycle.
  • Reconcile payroll reports and investigate discrepancies promptly.
  • Take a proactive approach to identifying irregularities discrepancies or patterns that may indicate data errors or process gaps and notify both the Finance team and Store Area Managers for clarification or resolution
  • Maintain detailed error and adjustment logs for review with the Finance team.

Compliance & Legal Accuracy

  • Ensure payroll practices fully comply with U.S. federal state and local labor laws.
  • Maintain a clear understanding of different employment classifications including W-2 1099 hourly salaried and commission-based structures and apply them accurately during payroll runs.
  • Support the Finance team in ensuring all withholdings deductions and reporting requirements are met.
  • Keep up to date with compliance changes and communicate any risk or exposure to management.

Communication & Coordination

  • Liaise with Shop Managers (SMs) and Studio Area Managers (SAMs) to collect missing signatures or clarify data issues.
  • Escalate unresolved discrepancies to the Finance Manager.
  • Provide weekly progress updates and maintain clear communication on all open items.

Reporting & Documentation

  • Maintain organized records of timesheet submissions approvals and payroll audit trails.
  • Generate weekly and cycle-based payroll reports for internal review.
  • Assist with audit preparation and documentation for compliance purposes.

Process Improvement

  • Identify inefficiencies or repetitive issues in the payroll workflow.
  • Recommend process improvements or automation to enhance accuracy and speed.
  • Uphold confidentiality and integrity in handling all payroll and employee information.
  • Perform other related duties as assigned by management supporting the Finance team in maintaining efficient and compliant payroll operations

Qualifications and Skills

Required:

  • Bachelors degree in Accounting Finance or related field (preferred but not required).
  • 35 years of experience processing payroll for U.S.-based employees (non-negotiable).
  • Strong understanding of U.S. labor laws payroll tax and compliance standards.
  • Proven knowledge of different pay structures: hourly salary commission and 1099 contractors.
  • Proficient in Excel or Google Sheets (pivot tables formulas data reconciliation).
  • Experience with Rippling is a plus.
  • Excellent written and verbal English communication skills.
  • Highly organized detail-oriented and able to meet tight bi-weekly deadlines.
  • Demonstrated ability to handle confidential data with discretion and integrity.
