The Opportunity
The Maintenance Coordinator is responsible for the day-to-day administrative processes within the Maintenance Department. The roles function is to respond to maintenance inquiries and issues troubleshoot document information coordinate with Tenants Contractors Vendors Maintenance Technicians and other staff.
What youll do
Responsibilities
- Action inquiries from staff clients and the public coordinating internally and externally as required.
- Assist in documenting and organizing all maintenance correspondence in both electronic and physical formats.
- Communicate with tenants regarding maintenance work by creating Maintenance Requests Notices to Enter and tenant letters for distribution.
- Order and/or copy all maintenance-related forms and letters.
- Review and follow up on Nova Scotia Health Services reports and Bylaw notifications addressing them as required by policy.
- Manage and monitor utility alerts liaising with tenants and the Maintenance Technician.
- Review and create work orders driven from property portfolio.
- Provide on-site support by posting notices and delivering electronic and physical notices to tenants.
- Support the maintenance team with the administrative functions of our building keys.
- Answering call inquiries and assisting tenants who come to the office.
- Reviewing Inspection reports coordinating required work and monitoring outcomes as a Assist in booking monthly building inspections annual unit inspections including boiler and mechanical rooms
- Record findings reported from building activity in adherence to compliance obligations address all deficiencies through work orders within the Maintenance Technician.
- Communicate related maintenance issues to Property Manager as required.
- Create and assign work orders to approved vendors for day-to-day maintenance activity.
- Follow up with vendors and/or the Maintenance Technician regarding work schedules and the completion of work orders (e.g. pest control appliance delivery goods removal).
- Maintain adherence to all current maintenance contracts with approved vendors including scope of work and pricing.
- Provide vendor assistance and support as needed.
- Oversee pest control monitoring including creating and issuing work orders to vendors preparing and following up on pest control letters and addressing non-compliance issues.
- Escalate non-compliance activity to Property Management and other internal divisions as required.
- Document attach and upload all information related to maintenance appeals or disputes both physically and electronically.
- Respond to complex tenant calls regarding maintenance issues addressing their concerns and informing them of processes and procedures.
- Liaise with tenants regarding Condition-of-Unit notices and concerns.
- Support administrative tasks related to the vacant portfolio as necessary.
- Assist/coordinate with on-site duties as they arise including dealing with common areas storage rooms intercoms safety concerns and tenant concerns.
- Promote clean and safe sites by coordinating maintenance activity related to garbage and compliance issues and any non-compliant on-site matters as they arise.
- Support other departments as required for staffing coverage training or ad hoc projects.
- Respond to tenant phone calls and office visits while maintaining a customer-focused and professional demeanour with customers contractors stakeholders and co-workers.
- Perform other related duties as required.
What youll need
Qualifications
- Diploma in Administration
- Minimum one year administration experience
- Valid drivers license with the ability to travel within Nova Scotia
- Ability to drive independently within Nova Scotia for working purposes
- Strong analytical skills with high attention to detail
- Ability to read and interpret complex material
- Effective organizational and time management abilities ensuring deadlines are consistently met
- Experience working with Yardi as an asset

Tawaak Housing Association
Tawaak Housing Association is one of many Urban Native Housing Corporations that sprung up in most major Canadian cities since the early 1970s in response to a growing need for a separate Aboriginal housing program within the over all framework of the Canadian social housing delivery system. Given existing patterns of societal actions (discrimination and exclusion) coupled with the Aboriginal communitys education and employment levels (lower than the non-Aboriginal population in both) was a recognition that the core housing needs of an urban Aboriginal population migrating from rural areas and reserves could be better served by separate and distinct Aboriginal housing groups.
Formed in 1981 Tawaak Housing Association is a private non-profit housing corporation that owns operates and delivers socially assisted rental housing in six urban areas of Nova Scotia. The mandate of the housing corporation is to provide suitable adequate and affordable housing to Aboriginal peoples of low to moderate income who reside in urban areas of the province who cannot attain housing through the regular housing market. Assisted by both the Federal Government and the Government of Nova Scotia Tawaaks portfolio consists of fifty-four properties comprising of one hundred and forty-five units supported under the Urban Native Housing Program and the Private non-profit housing program. Approximately eighty-two percent of the portfolio is located in the urban centers of Halifax and Dartmouth while the remainder are located in Sydney Truro Antigonish Liverpool and Bridgewater.
