Position: Entertainment Supervisor
PSQ Productions is seeking an Entertainment Supervisor to oversee all live entertainment stage performances and character experiences throughout Winter Fest OC at the OC Fair & Event Center. This role supports the full entertainment operation ensuring performers such as Santa stilt walkers Jack Frost and other featured characters are fully prepared and equipped to deliver an exceptional family-friendly experience. The Entertainment Supervisor coordinates directly with the Stage Manager and Programming Manager to maintain show flow costuming music and photo operations.
The ideal candidate is highly organized proactive and detail-oriented with strong leadership skills and a passion for creating memorable guest moments in a fast-paced festive environment.
Core Responsibilities
Show Calling & Run of Show
- Build the daily run of show set list and contingency plans
- Assist production calling cues stage presets and assist with performance transitions.
- Lead pre-event and post-event huddles.
- Enforce timing standards for on-time first cues and hard outs for egress.
Performer Management & Backstage Flow
- Check in/out all entertainers; verify readiness warm-ups and set lists.
- Escort entertainers to/from stage zones and VIP/elevated spaces
- Uphold appearance standards and ensure performers are show ready
Costuming
- Support fittings costume prep quick-changes repairs and laundry rotations.
- Manage costume inventory and nightly reconciliation.
- Coordinate alterations and emergency fixes; maintain kit (sewing tape snaps stain removal).
Technical & Music (Audio/Lighting/Playback)
- Coordinate with production and lighting teams on show files presets and music.
- Oversee music playback across all zones ensuring show music is playing at appropriate levels
- Conduct full pre-show technical checks.
- Oversee the Santa Photo Op location ensuring camera and photo printing equipment are ready by start of day
- Coordinate troubleshooting for camera lighting or printer malfunctions with Ops/Production as needed.
- Log any technical faults and escalate via radio (designated channel) to Ops/Production for immediate resolution.
Documentation
- Maintain digital cue sheets shared drive folders and version control for show docs.
- Submit a nightly Show Report with KPIs issues photos and incident notes.
Staffing Training & Scheduling
- Support staffing schedules and manage breaks to ensure continuous coverage.
- Train onsite teams and ensure a safe working environment.
- Oversee staffing and redeploying staff based on crowds and show needs.
Guest Experience & Show Quality
- Ensure entertainment zones stages and backstage/VIP zones are clean tidy and branded; signage accurate.
- Monitor line of sight crowd flow ADA access and noise bleed; adjust positions accordingly.
- Lead show stop protocol for weather/medical/technical emergencies; file incident reports.
Inventory & Asset Management
- Track and secure radios mic packs iPads chargers battery banks costumes props.
- Nightly counts and end-of-run reconciliation; report losses/damages.
- Maintain repair/replace log and submit purchase/requisition requests.
Qualifications
- Previous experience in event stage or entertainment management is strongly preferred.
- Exceptional communication organization and multitasking abilities.
- Calm professional and guest-focused demeanor in high-energy environments.
- Positive adaptable and team-oriented attitude.
- Availability for evenings weekends and holidays during event dates.
Physical & Work Conditions
- Stand/walk for extended periods; lift/carry up to 40lbs; climb stairs/ladders.
- Work in variable temps outdoor conditions and high-noise environments.
- Nights/weekends/holidays; extended shifts during peak periods.
