Pay Range : $1000 - $2000 USD/month (varies based on skill set and experience level)

Role Overview:
Youll be the strategic right hand to the client. You will be managing his time communication operations and systems so he can focus on what matters most.
This isnt a typical assistant role. Youll be deeply involved in the day-to-day rhythm of a high-performing entrepreneur helping him run multiple businesses manage client relationships stay on top of finances and keep his household organized all while leveraging the best of AI and automation tools to streamline everything.
This role spans across the clients fractional CFO practice real estate businesses internal projects and family logistics and requires someone who can manage complexity and create simplicity.
What Success Looks Like.
- The clients calendar inbox and commitments run smoothly without drift
- Tasks deadlines and needs are anticipated early without needing reminders
- Client communication rhythms and deliverables stay consistent
- Systems processes and SOPs are documented and improved over time
- The client is able to stay focused on strategy relationships and high leverage work
Duties and Responsibilities:
Executive & Administrative Support
- Manage calendar priorities and meetings
- Organize and handle email correspondence
- Prepare documents presentations and reports as needed
- Maintain organized digital files and systems to ensure quick access to key information
- Track and follow up on tasks and projects keeping everything moving forward
- Keep the client organized by ensuring commitments deadlines and tasks stay on track across all areas of work and life
Financial & Operational Support
- Take ownership of bookkeeping invoicing and expense categorization across multiple entities
- Maintain clean and accurate books in QuickBooks
- Prepare monthly financial reports and organize all financial documentation
- Coordinate with accountants bookkeepers and external partners as needed to keep all financial information accurate and current
Client & Business Coordination
- Help manage communication cycles with fractional CFO clients from onboarding to ongoing check-ins
- Track deliverables follow-ups and client touchpoints to deliver a premium client experience
- Manage CRM Go High Level platform to organize leads automate workflows and monitor client activity
Personal & Family Organization
- Coordinate scheduling and logistics for founder family including school and activity calendars
- Plan travel from research to booking to itinerary organization
- Support household logistics appointments and general coordination as needed
Tech Systems & AI
- Use and maintain tools like ChatGPT Notion ClickUp and Google Workspace to build efficient workflows
- Research and implement new technologies or process improvements to make operations even smoother
- Build and maintain SOPs and repeatable systems that remove recurring tasks from the clients plate
Minimum Requirements:
Language requirement: Excellent English Communication Skills
Experience: 3 years of related experience
- 3 years of experience as an Executive Assistant Operations Manager or similar strategic support role
- Excellent written and verbal communication in English
- Tech-savvy and quick to learn new tools (AI and automation experience a plus)
- Proficient with Google Workspace Microsoft Office QuickBooks and ideally Go High Level CRM (or similar platforms like HubSpot or ActiveCampaign)
- Highly organized detail-oriented and calm under pressure
- Background in finance accounting or real estate preferred
- A proactive resourceful mindset you anticipate needs before theyre asked
- High level of discretion and confidentiality
- Comfortable working in a fast moving environment with shifting priorities
- Strong problem solving ability takes initiative and proposes solutions without waiting for direction
