Job Summary

This is a remote position.

Clock Tower Realty is a full-service real estate brokerage based in Winter Garden Florida. They help clients across the buying and selling process of residential property offering localized expertise marketing support and client education.

The Remote Office Assistant / Office Administrator supports our mission by providing administrative clerical and operational support from a remote environment. This individual will serve as an integral part of the administrative teamensuring smooth workflows timely communications accurate data entry and eorganisationaleoperations support all while working remotely.

Key Responsibilities

Act as a remote point of contact for internal staff and external stakeholders (via phone/email/chat) providing professional service and routing inquiries appropriately.

Manage general office administration tasks remotely: maintaining digital calendars scheduling virtual meetings sending invites coordinating remote team communications.

Perform data entry and recordkeeping duties: update databases (client/caregiver records service logs administrative documents) verify accuracy and ensure file integrity.

Manage remote document flow: scan upload index and maintain digital files; ensure that electronic documents are stored in the correct systems and easily retrievable.

Support the virtual front desk functions: monitor shared inboxes respond to messages triage requests log entries track followup items escalate as needed.

Coordinate administrative processes across departments: assist with onboarding documentation office supply orders (remote/virtual) vendor or service provider communications invoice tracking.

Prepare standard correspondence reports memos or communications as needed; format and proofread documents for clarity and correctness.

Maintain remote office logistics: ensure that your home workspace is secure reliable professional and aligned with organizational standards for data security and confidentiality.

Collaborate with other remote team members support crossfunctional projects or tasks (e.g. special administrative projects database cleanups process improvements).

Requirements

High school diploma or equivalent; Associates degree in Business Administration Office Management or related field preferred.

No experience needed we will train and training is paid

Strong verbal and written communication skills; able to handle inbound communications professionally and accurately.

Excellent attention to detail strong organizational skills and ability to prioritize tasks and manage time effectively in a remote environment.

Proficiency with standard office software (e.g. Microsoft Office: Word Excel Outlook) and comfortable learning new platforms/databases.

Reliable highspeed internet connection dedicated home workspace ability to maintain professional productivity remotely.

Strong customerservice orientation: ability to work with internal and external stakeholders in a professional courteous manner.

Required Skills:

Required Skills & Qualifications High school diploma or equivalent Proven experience in document control or records management Comfortable working remotely and independently: excellent organizational skills self-motivation ability to manage workload. Strong attention to detail accuracy and version-control discipline. Proficiency in Microsoft Office (Word Excel Outlook) and familiarity with document management systems (DMS) or electronic repositories. Good communication skills both written and verbal to liaise with multiple internal stakeholders. Ability to prioritize meet deadlines and work efficiently in a remote environment with minimal supervision. Experience in real-estate property-management or related transactional industry preferred (but not always required). Understanding of confidentiality regulatory compliance (e.g. records retention laws) an advantage. Characteristics & Competencies Methodical organized able to maintain order in a high-volume document environment. Reliable trustworthy (handling sensitive documents). Proactive (identifies missing documentation follows up). Adaptable (remote environment possibly dealing with different systems). Good team-player (though remote) and can communicate clearly with different departments.
