Job Summary

Position Summary

San Diego State University is seeking a proactive and detail-oriented Administration and Housing Facilities Services Coordinator to support housing operations administrative processes and facility services. This role is essential for ensuring smooth coordination across student housing assignments billing staffing and maintenance-related services.

Key Responsibilities

Administration Support

  • Coordinate student housing assignments manage room changes and contract releases maintain accurate records and respond to sensitive inquiries from students parents and staff.
  • Collaborate with the Housing team to provide timely communication and ensure clarity around housing policies procedures and notifications.
  • Support student account billing by addressing inquiries reconciling holds processing notices and working with Student Financial Services to resolve discrepancies.
  • Manage procurement and inventory processes support recruitment and onboarding of student assistants and recommend process improvements for efficiency and cost savings.

Housing Facilities Services Support

  • Lead pest control coordination across SDSU Housing properties including vendor outreach scheduling quality assurance and payment processing.
  • Oversee procurement and inventory for housing facilities including purchase orders supply tracking and vendor coordination to ensure timely and accurate delivery.
  • Direct large-scale facilities projects using project management tools (e.g. Smartsheets) coordinating across departments from initiation through post-project evaluation.

Position Information

  • This is a full-time (1.0 time-base) benefits eligible permanent/probationary position.
  • This position is designated non-exempt under FLSA and is eligible for overtime compensation.
  • Standard SDSU work hours are Monday Friday 8:00 a.m. to 4:30 p.m. but may vary based on operational needs.
  • The individual hired into this role will work on campus at SDSU in San Diego.

Department Summary

The Division of Business and Financial Affairs is responsible for ensuring a safe productive campus environment while providing the highest quality service in support of academic excellence through thoughtful stewardship of financial technological infrastructure and human resources at San Diego State University.

The Office of Housing Administration (OHA) is a self-funded operation responsible for planning providing and administering housing operations services and facilities with over 100 employees and more than 150 student assistants. With an annual operating budget exceeding $159 million OHA provides housing for over 9000 students live-in professional staff and faculty across 25 residential buildings totaling more than 2 million square feet of residential facilities. OHA also operates SDSU-IV housing at the Imperial Valley campus. OHA manages the operation of residence halls apartments and conference and event partnership with the Residential Education Office (REO) OHA supports the educational mission of the university while providing the business operations for all housing-related functions ensuring a high-quality environment that enhances the student educational experience.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices as well as an ability to understand and operate in a variety of organizational structures. Additionally incumbents are expected to have a thorough knowledge of English grammar spelling and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly lean new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program technical/vocational program or their equivalents combined with several years of related office work experience.

Key Qualifications

  • Expertise in using office software packages technology and systems.
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
  • Support staff and work unit priorities are usually set. Full accountability for work flow and completion of work for the assigned support staff.
  • Administrative work in a large/complex academic administrative or program office and/or in a higher level administrative office.
  • Customer service experience communicating by phone text messaging and email.

Compensation:
Step placement will be determined based on relevant qualifications and professional experience in alignment with the departments budget and equity guidelines.

  • Initial step placement is not expected to exceed Step 1 ($4367) for highly qualified candidates.
  • CSU Classification Salary Range: $4367 $6362 per month (Step 1 Step 20).
  • Future increases including step advancements are subject to contract negotiations.
