Job Title: Administrative Assistant
Classification: Institutional Support
Reports To: Department Head
Location: Al Jahra Kuwait
Job Purpose
The Administrative Assistant provides comprehensive administrative and clerical support to ensure smooth daily operations within the assigned department. This role manages communication scheduling and documentation while maintaining an organized efficient and professional office environment that supports departmental and institutional goals.
Key Responsibilities
- Serve as the primary point of contact for the department ensuring professional communication and customer service.
- Coordinate calendars meetings and departmental schedules to support efficient workflow.
- Prepare correspondence reports and presentations with accuracy and attention to detail.
- Manage filing systems records and document archiving to maintain organized operations.
- Process purchase requests supply orders and reimbursements in coordination with Finance.
- Assist in onboarding new employees coordinating access workspace setup and documentation.
- Support event coordination including logistics catering and travel arrangements.
- Maintain office inventory monitor equipment and ensure operational readiness.
- Uphold confidentiality while handling sensitive information and personnel records.
- Provide support for special projects and administrative initiatives as assigned.
Required Skills and Qualifications
- Strong organizational and multitasking abilities in a fast-paced environment.
- Excellent communication and interpersonal skills in English; Arabic required.
- Proficient in Microsoft Office Suite (Word Excel Outlook PowerPoint).
- High attention to detail accuracy and professionalism.
- Ability to manage confidential information with discretion.
- Effective team collaboration and independent task management skills.
Education and Experience
- Bachelors degree preferred.
- Minimum of three (3) years of administrative or clerical experience in a professional setting.
- Demonstrated experience managing correspondence reports and records.
- Bilingual proficiency in English and Arabic preferred.
